Job summary

Bit By Bit is seeking a highly organized Project Coordinator to move multiple client IT projects from planning through execution and handoff. You will align with project managers, engineers, service teams, vendors, and clients to coordinate resources, milestones, and documentation in a fast-paced MSP environment.

You will work with U.S.-based clients, ensuring clear status updates, identified risks, and smooth handoffs to ongoing support.

Qualifications

• 2-4+ years of experience in project coordination, ideally in technology or professional services.
• Strong written and spoken English, including the ability to communicate professionally with U.S.-based clients.
• Excellent organization, follow-up, prioritization, and time-management skills.
• Comfort working with technical professionals and learning IT project terminology and workflows.
• Experience with project management platforms, ticketing, PSA, or workflow tools.

Responsibilities

• Support project initiation, scope clarification, and SOW documentation for multiple client projects.
• Coordinate resources across engineering, service desk, NOC/SOC, vendors, and internal teams.
• Track milestones, dependencies, risks, action items, and decisions using project tools.
• Maintain ownership and next actions across projects and proactively follow up.
• Identify stalled work and emerging risks, elevating them before delivery impact.
• Assist with budgeting, forecasting, scheduling, and tracking against financials.
• Prepare agendas, document decisions, and follow through on commitments for project meetings.
• Ensure proper handoffs to service desk/operations after completion with documentation.
