The role will expand to include scheduling of clients and caregivers as the business grows, requiring excellent organization and a compassionate phone manner with older adults.

Qualifications

• Proven experience handling inbound phone calls in receptionist, intake, front desk, or customer service roles.
• Ability to explain services and pricing confidently and convert inquiries to booked appointments.
• Experience with appointment setting and calendar management.
• Comfortable using scheduling/records software and quick to learn new platforms.
• Accurate data entry with strong attention to detail.
• Reliable, independent worker who can manage calendars and communications.

Responsibilities

• Answer incoming phone calls promptly and professionally.
• Explain care services, options, and pricing to prospective clients and families.
• Qualify inquiries and gather caller care details.
• Schedule in-home consultations and coordinate with owner’s calendar.
• Send confirmations, reminders, and follow-ups to reduce no-shows.
• Re-engage prospects who inquired but did not move forward.
• Enter and maintain client and caregiver records in scheduling system.
• Coordinate caregiver schedules and shifts as the role expands.
• Handle general customer service requests and escalate owner attention as needed.
• Maintain confidentiality of all client and health-related information.
