Job summary

OpsArmy is seeking an Accounts Payable Specialist with hands-on experience in Bill.com, QuickBooks Online (QBO), and a background in CPG and e-commerce accounting to join our remote team.

You will manage end-to-end AP processes, handle high invoice volumes, coordinate vendor payments, and maintain precise financial records to support month-end closings and reporting. Strong English communication and the ability to work independently are essential.

Qualifications

• Proven experience in accounts payable or a similar accounting role.
• Hands-on experience using Bill.com for invoice processing, payment coordination, or other AP workflows.
• Experience with QuickBooks Online (QBO) or comparable accounting software.
• Relevant experience supporting US-based CPG and/or e-commerce businesses.
• Ability to handle high volumes of invoices and financial transactions while maintaining accuracy and meeting deadlines.

Responsibilities

• Manage day-to-day accounts payable operations, including invoice processing, verification, coding, approval tracking, and payment coordination.
• Use Bill.com to manage AP workflows, process invoices, coordinate vendor payments, and monitor payment statuses.
• Use QuickBooks Online (QBO) to record AP transactions, maintain accurate financial records, and ensure proper documentation.
• Review invoices for accuracy, completeness, appropriate coding, and proper approval before processing.
• Process vendor payments and monitor payment deadlines to ensure timely and accurate disbursements.
• Reconcile vendor statements and AP balances, investigate discrepancies, and resolve billing or payment issues.
• Maintain organized and accurate records of invoices, payments, purchase orders, and vendor information.
• Communicate professionally with vendors and internal stakeholders regarding invoices, payment status, missing documentation, and account discrepancies.
• Support AP activities for CPG and e-commerce businesses, including high-volume transactions and vendor invoices.
• Assist with month-end closing activities, AP reconciliations, and financial reporting.
• Identify discrepancies, investigate transaction issues, and implement appropriate resolutions.
• Ensure compliance with established accounting policies, internal controls, and AP procedures.
