The Recruiting Coordinator provides administrative and operational support throughout the recruitment
process. This role is responsible for coordinating interviews, maintaining accurate candidate information,
supporting recruitment activities, and ensuring timely completion of candidate requirements.
The Recruiting Coordinator works closely with Recruiters, Hiring Managers, Operations, and candidates
to provide an efficient and consistent recruitment experience.
Job Responsibilities
- Coordinate interview schedules between candidates, Recruiters, Hiring Managers, and interview panels.
- Manage candidate communications, including interview invitations, confirmations, reminders, and follow-ups.
- Maintain accurate candidate information and recruitment status in the Applicant Tracking System.
- Coordinate assessments, interviews, background checks, and other pre-employment requirements.
- Monitor candidate movement through each stage of the recruitment process.
- Track interview attendance, candidate no-shows, withdrawals, and pending actions.
- Prepare and maintain recruitment trackers and reports.
- Support job postings and recruitment campaigns.
- Coordinate offer documentation and pre-employment requirements.
- Maintain accurate and complete recruitment documentation.
- Provide timely updates to Recruiters and Hiring Managers regarding candidate status.
- Support recruitment events, hiring drives, and other Talent Acquisition activities.
- Identify administrative bottlenecks and recommend process improvements.
- Ensure recruitment activities are completed within established service levels.
- Perform other recruitment-related administrative duties as assigned.
Required Qualifications & Characteristics
- Bachelor's degree in Human Resources, Psychology, Business Administration, or related field preferred.
- 1-3 years of experience in recruitment coordination, HR administration, or related experience.
- Experience working with UKG or another HRIS/ATS platform is preferred.
- Experience supporting US-based clients, candidates, or stakeholders is preferred.
- Experience working across US business hours or supporting US-based recruitment processes preferred.
- Strong organizational and time-management skills.
- Strong written and verbal communication skills.
- Strong attention to detail and data accuracy.
- Ability to manage multiple priorities simultaneously.
- Proficiency in Microsoft Office and/or Google Workspace.
- Strong customer service orientation.
