Job summary

MicroSourcing is hiring a Purchasing Support Officer in Eastwood, Quezon City, with a hybrid work setup and dayshift. You will coordinate with automotive dealers, manage delivery confirmations, and handle paperwork for vehicle fit-outs and transport, while ensuring timely supplier payments and supporting ongoing projects.

Qualifications

• Experience in fleet management or direct dealings with automotive dealerships.
• At least 1 year in administrative or customer service with heavy document handling.

• Ability to plan and meet tight delivery deadlines under pressure.

Responsibilities

• Coordinate with vehicle dealerships to confirm orders and specs.
• Manage weekly delivery confirmations and update Miles system.
• Handle third-party vehicle fit-outs and interstate transport paperwork.
• Resolve delivery issues and ensure smooth handovers.
• Process high volumes of automated task reports and incidents.
• Liaise with Accounts Payable to ensure timely supplier payments.
• Support In-life Services with ad-hoc tasks and projects.

Your Role

As a Purchasing Support Officer, you will:

• Coordinate with vehicle dealerships to confirm order acceptance and ensure all technical specifications are captured.
• Manage weekly delivery confirmation reports, updating date changes in the Miles system and notifying customers and sales teams of any delays.
• Facilitate third-party vehicle fit-outs and interstate transport by managing all required paperwork, registration forms, and invoices.
• Resolve delivery issues, such as early registrations or address changes, to ensure a seamless handover to the customer.
• Process high volumes of automated task reports and internal incidents daily to maintain workflow efficiency.
• Communicate with the Accounts Payable team to ensure supplier payment requests are handled accurately and on time.
• Assist the broader In-life Services team with ad-hoc tasks and project-based initiatives as priorities shift.

What You Need

Non-negotiables

• Fleet or Automotive Experience: Prior experience in fleet management or direct communication with automotive dealerships.
• Document Processing Proficiency: At least 1 year of experience in a professional administration or customer service role involving heavy document management.
• Analytical Accuracy: A keen eye for detail with the ability to process large workloads while maintaining high data quality.
• Communication Skills: Excellent oral and written skills to manage supplier relationships and provide clear updates to customers.
• Time Management: Proven ability to plan and coordinate tasks against strict delivery deadlines and under high-pressure conditions.

Preferred Skills/expertise

• Knowledge of state-specific vehicle registration requirements and third-party supplier management.
• Advanced analytical qualifications or experience in a data-heavy "workload management" environment.
• Experience using the Miles fleet management system or similar industry-specific software.
• Demonstrated ability to identify process gaps and assist in project-based efficiency improvements.
• Strong "Customer First" mindset with a focus on producing quality outcomes for the business and its clients.
