Job summary

Offsure is seeking a Property Management Administrator to provide administrative and operational support for residential, commercial, or mixed-use properties. You will coordinate tenant communications, maintain records, and assist with lease administration.

You will schedule maintenance, review invoices, and support property managers with daily operations. Strong organization, attention to detail, and excellent written and verbal communication are essential for success.

Qualifications

• Bachelor's degree in Business Administration, Property Management, Real Estate, or related field.
• 2–4 years of proven experience in property management, real estate, administration, or customer service.
• Proficiency in Microsoft Office Suite and property management software (AppFolio, Buildium, Yardi, etc.).
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• High attention to detail and accuracy.
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
• Strong customer service and problem-solving skills.
• Ability to work independently and collaboratively within a team.

Responsibilities

• Provide administrative support to the Property Management team.
• Maintain accurate tenant, lease, and property records in the property management system.
• Prepare, process, and organize lease agreements, renewals, notices, and other property-related documents.
• Respond to tenant inquiries and coordinate communication between tenants, vendors, and property managers.
• Schedule and track maintenance requests, repairs, inspections, and vendor services.
• Coordinate move-ins, move-outs, and property inspections.
• Process invoices, purchase orders, and assist with rent collection and payment tracking.
• Maintain filing systems and ensure all documentation is complete and up to date.
• Assist in preparing reports, budgets, and property performance summaries.
• Monitor contract renewals, insurance documents, and compliance requirements.
• Coordinate appointments, meetings, and calendars for the Property Management team.
• Support special projects and perform other administrative duties as assigned.
