We are looking for a highly organized and detail-oriented Property Administrative Assistant to provide administrative and operational support to the Property Management Office (PMO). The successful candidate will help ensure efficient documentation, billing coordination, tenant support, office administration, and day-to-day property management operations while delivering excellent customer service.
Prepare and monitor billing for rent, utilities, CUSA, and other property-related charges.
Coordinate the timely preparation and distribution of Statements of Account (SOA).
Monitor collections, petty cash, budget utilization, and expense reports.
Process Requests for Issuance of Check (RIC) and coordinate payments with Accounting.
Assist in preparing financial and operational reports.
Maintain complete and updated tenant and property records.
Monitor the renewal of permits, licenses, contracts, and other important documents.
Prepare transmittals and ensure proper documentation of incoming and outgoing communications.
Manage office supplies, inventories, and departmental assets.
Safeguard confidential documents and maintain organized filing systems.
Serve as the reception point for visitors, documents, and official correspondence.
Coordinate with housekeeping and maintenance teams to maintain office cleanliness and order.
Monitor housekeeping schedules and maintenance activities.
Assist in implementing house rules, waste management policies, and property regulations.
Prepare notices and non-compliance memoranda for tenant violations.
Monitor parking permits, common facility usage, and related documentation.
Assist in emergency preparedness activities, including tenant orientations and fire drills.
Respond to tenant inquiries promptly and professionally.
Assist in handling tenant concerns and complaints by coordinating with the appropriate personnel.
Maintain records of tenant concerns and prepare regular monitoring reports.
Conduct orientations on PMO policies and procedures for tenants, residents, and employees.
Bachelor's Degree in any four-year course.
At least 1–2 years of relevant experience in administrative support, property management, or a related field.
Strong organizational, planning, and documentation skills.
Proficient in Microsoft Office applications (Word, Excel, and PowerPoint).
Excellent written and verbal communication skills.
Strong customer service and interpersonal skills.
Detail‑oriented with good analytical and problem‑solving abilities.
Able to work independently, manage multiple priorities, and meet deadlines.
Demonstrates integrity, initiative, resourcefulness, and professionalism.
