Job summary

Satellite Teams LLC. is seeking a Property Maintenance Coordinator / Client Liaison to manage the full lifecycle of maintenance work orders for our US-based clients.

You will coordinate vendors, communicate with clients, and oversee work order processes from creation to completion. The role requires 3+ years in property management or related fields, strong organizational skills, and proficiency with MS Office and collaboration tools.

Qualifications

• Minimum 3 years of experience in property management or related fields.
• Proven experience managing work orders from initiation through completion.
• Experience coordinating vendors, contractors, or third-party providers.
• Experience handling multiple requests, deadlines, and priorities simultaneously.
• Ability to work independently with minimal supervision.
• Strong organizational and problem-solving skills.
• High attention to detail and follow-through.
• Proficiency with Microsoft Office applications.
• Experience using collaboration tools such as Microsoft Teams and Slack.

Responsibilities

• Manage the full lifecycle of maintenance work orders from intake through completion.
• Create, assign, track, and close work orders within internal and client systems.
• Coordinate with vendors, contractors, and service providers to ensure timely completion of maintenance requests.
• Source and engage vendors when required.
• Follow up regularly with vendors regarding project status, updates, and completion timelines.
• Communicate directly with clients regarding work order progress and maintenance activities.
• Maintain detailed records, documentation, and status updates within company systems.
• Monitor work order pipelines and ensure service requests are completed within established timelines.
• Escalate issues proactively and identify solutions to avoid delays.
• Build and maintain strong working relationships with clients, contractors, and internal stakeholders.
• Handle multiple active projects and client accounts simultaneously.
• Ensure data accuracy, service quality, and client satisfaction throughout the maintenance process.
