Job description:
Provide project, coordination and administrative support in executing operational readiness activities, including documentation, tracking, and alignment of project systems and processes.
1. Permits, Licenses, and Regulatory Compliance (support to PD Head)
Assist in the preparation, submission, and monitoring of permits, licenses, and regulatory requirements.
Coordinate with government agencies (e.g., DENR, PRA, LGUS, DPWH, EMB) for follow-ups and documentation.
Maintain tracker of permits, approvals, and compliance timelines.
Organize and file regulatory documents, reports, and correspondence.
2. Titling and Land Documentation (Support to PD Head)
Assist in processing land titling activities, including subdivision, consolidation, and documentation.
Maintain organized records of titles, plans, and land-related documents.
Coordinate with legal teams, surveyors, and government agencies on documentation requirements.
Support due diligence and verification of land records.
3. Planning, Technical and Construction Coordination (Support to PD Head)
Assist in monitoring project schedules, progress updates, and coordination activities.
Support coordination with consultants, contractors, and technical teams.
Help consolidate reports, drawings, and technical documents.
Assist in tracking action items and ensuring timely follow-ups.
4. Utilities Planning and Management (Support to Manager/PD Head)
Assist in coordinating with utility providers (power, water, telecoms) for applications and requirements.
Support documentation, tracking, and monitoring of utilities-related activities.
Help organize technical submissions, plans, and correspondence.
Maintain records of utilities plans and agreements.
4. Administrative and Project Support Functions
Prepare minutes of meetings, summaries, and action item trackers.
Assist in organizing meetings, site visits, and stakeholder engagements.
Provide support in event coordination and project-related activities.
Prepare project presentations, reports, and documentation materials.
Maintain organized filing systems (digital and physical) for all project documents.
5. Other duties that may be assigned
1. Basic knowledge of real estate developmentprocesses and regulatory requirements
2. Familiarity with documentation, filing systems, and government submissions
3. Understanding of construction coordination and project documentation
4. Exposure to utilities systems and infrastructure projects is an advantage
5. Proficiency in MS Office (Word, Excel, PowerPoint) and documentation tools

Bachelor's degree in Management/Business Administration, Engineering, Architecture, Urban Planning, Finance, or related field
At least 1-2 years of relevant experience in project development, construction, or administrative support
Fresh graduates with strong internship experience may be considered
Professional licenses or certifications in real estate, engineering, project management, finance, or urban planning are an advantage but not required
Documentation and coordination work
Government or project-related transactions (preferred)
Proficient in MS Office applications, especially Excel and PowerPoint
Strong organizational and communication skills
