Project Coordinator VA for Software Development projects
Location: Cebu or Manila, Philippines (Remote-first, aligned to Australian business hours – AEST)

The Role
The Project Coordinator VA will be responsible for supporting the coordination, administration, and day-to-day management of software development and IT-related projects. You will work closely with developers, project managers, clients, and other stakeholders to track tasks, maintain project documentation, coordinate meetings, follow up on deliverables, and help ensure projects remain organised and on schedule.
This is not a general Virtual Assistant role. The successful candidate must have practical experience working with software development or IT projects and be comfortable working with technical teams and development workflows.
Responsibilities:
- Coordinate day-to-day activities across software development and IT projects.
- Track project tasks, milestones, deadlines, dependencies, and deliverables.
- Maintain project boards, task lists, documentation, and project records.
- Follow up with developers and team members regarding outstanding tasks, blockers, and deadlines.
- Coordinate meetings, stand-ups, project calls, and stakeholder discussions.
- Prepare meeting agendas, take notes, and maintain clear action items and decisions.
- Assist with project status updates, reports, schedules, and progress tracking.
- Help coordinate requirements, development activities, testing, bug fixes, and releases.
- Monitor project progress and identify overdue tasks, blockers, dependencies, or items requiring escalation.
- Maintain organised project documentation and ensure information is kept current.
- Assist with client and internal communications regarding project status and deliverables.
- Support Project Managers, Delivery Leads, and technical teams with project coordination and administrative activities.
- Manage and update project information using tools such as Jira, Azure DevOps, Monday.com, ClickUp, Asana, Trello, or similar platforms.
What We're Looking For
- 2+ years of experience in Project Coordination, IT Project Administration, Technical VA, Project Support, or similar roles.
- Practical experience supporting software development or IT-related projects.
- Good understanding of the Software Development Lifecycle (SDLC).
- Comfortable working with developers, QA teams, project managers, and technical stakeholders.
- Strong practical understanding of:
Development tasks, bugs, testing, and software releases
Project tracking and task management
Technical documentation and project reporting
Project dependencies, blockers, and deliverables
- Experience coordinating multiple tasks, priorities, and deadlines within software or technology projects.
- Experience maintaining accurate project documentation and project management records.
- Experience following up with technical team members and keeping project actions moving.
- Strong written and verbal communication skills with excellent attention to detail.
Project & Delivery Skills
- Experience working in Agile/Scrum or other structured software delivery environments.
- Familiarity with Jira, Azure DevOps, Monday.com, ClickUp, Asana, Trello, or equivalent project management tools.
- Familiarity with collaboration tools such as Microsoft Teams, Slack, or similar.
- Comfortable working remotely with distributed development teams.
- Strong organisational and time-management skills.
- Proactive and confident in following up on tasks, actions, and deadlines.
- Able to identify issues or delays and escape them appropriately.
- Comfortable communicating with both technical and non-technical stakeholders.
- Able to understand technical discussions and translate them into clear project actions and documentation.
- Strong attention to detail and ability to manage multiple projects or workstreams.
- Self-directed, reliable, and delivery-focused.
Bonus (Nice to Have)
- Experience working within a software consultancy, digital agency, systems integrator, or technology company.
- Familiarity with GitHub, GitLab, or Azure DevOps development workflows.
- Experience coordinating QA/testing activities, UAT, deployments, or software releases.
- Basic understanding of cloud platforms such as Azure or AWS.
- Experience with project reporting, resource coordination, or client project administration.
- Prior experience working with Australian or international clients.
