Job Description
Project Assistant to support the planning, coordination, execution, and monitoring of Project Activities for the ERP Transformation. Upon deployment, the staff will be assigned to the PMO Group, with primary responsibilities of coordinating project activities, maintaining project documentation, preparing presentation and meeting materials, tracking project actions, and facilitating collaboration among stakeholders. The Project Assistant works closely with project managers, business teams, and technical teams to support the timely delivery of project objectives.
Key Responsibilities
- Work with the PMO Project Manager to coordinate and follow up on project activities, deliverables, and action items.
- Schedule and organize project meetings, workshops, and stakeholder engagements.
- Prepare meeting materials, presentations, reports, and status updates.
- Document meeting minutes, decisions, risks, issues, and action plans.
- Maintain project documentation, templates, logs, and repositories.
- Track project milestones, deadlines, and progress against plans.
- Consolidate inputs from various teams and stakeholders.
- Support preparation of project governance materials and executive reports.
- Facilitate communication and collaboration across business and technical teams.
- Ensure project records are accurate, organized, and up to date.
- Assist in ad hoc analyses, data gathering, and administrative tasks as required.
Work Experience
- 2 to 5 years of relevant experience in project coordination, project administration, project management support, business operations, or process improvement.
- Experience supporting cross-functional teams and multiple stakeholders.
- Exposure to project management methodologies, PMO activities, or transformation programs is an advantage.
- Experience in ERP, technology, business transformation, or corporate project environments is preferred.
Technical Knowledge and Skills
- Strong organizational and coordination skills.
- Excellent verbal and written communication skills.
- Strong documentation and report-writing capability.
- Ability to manage multiple priorities and deadlines.
- Exposure to ERP systems (e.g., SAP) is an advantage.
- Proficient in Microsoft Office applications, particularly PowerPoint, Excel, Word, and Teams.
Other Requirements
- To report onsite from 8am to 5pm, Monday to Friday.
- May be required to render overtime on some occasions.
Education
- Bachelor's degree in Business Administration, Management, Accountancy, Information Technology, Industrial Engineering, or a related field.
CONTRACT: 6 MONTHS (SUBJECT TO EXTENSION)
