Key Responsibilities
- Manage the procurement process from sourcing and quotation requests to purchase order issuance and delivery.
- Source and evaluate suppliers based on price, quality, reliability, and delivery performance.
- Request and compare quotations from different suppliers to obtain the best value for the company.
- Negotiate pricing, payment terms, delivery schedules, and other conditions with suppliers.
- Prepare and process Purchase Orders (POs) and other procurement-related documents.
- Monitor orders and ensure timely delivery of materials, equipment, and services.
- Coordinate with suppliers regarding order status, deliveries, invoices, and other concerns.
- Maintain accurate records of suppliers, quotations, purchase orders, and procurement transactions.
- Monitor supplier performance and recommend improvements or alternative suppliers when necessary.
- Coordinate with Finance, Warehouse, Operations, and other departments regarding purchasing requirements.
- Ensure that all procurement activities comply with company policies, procedures, and approved budgets.
- Conduct market research to identify new suppliers, products, and cost‑saving opportunities.
- Resolve issues involving incorrect, damaged, delayed, or incomplete deliveries.
- Prepare procurement reports and maintain updated purchasing records.
- Perform other related duties as assigned by management.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Engineering, Finance, or any related field.
- At least 2–4 years of relevant experience in procurement, purchasing, sourcing, or supply chain management. (Fresh graduates may be considered for entry-level roles with relevant internship experience.)
- Strong knowledge of procurement processes, supplier management, and contract negotiation.
- Experience in sourcing suppliers, evaluating quotations, and preparing purchase orders.
- Excellent negotiation, analytical, and problem‑solving skills.
- Strong communication and interpersonal skills with the ability to build and maintain supplier relationships.
- Detail‑oriented, organized, and able to manage multiple procurement requests simultaneously.
- Knowledge of inventory management and cost analysis is an advantage.
- Ability to work under pressure, meet deadlines, and maintain confidentiality.
- Experience in manufacturing, construction, or distribution industries is an advantage, depending on the company’s operations.
