Job summary

Smart Outsourcing Solution is seeking a detail-oriented Preboarding Specialist in the Philippines to manage candidate experience from offer acceptance through onboarding. Responsibilities include coordinating with TA/HR, verifying credentials, PSV when required, and ensuring compliance with regulations.

You will handle health assessments, onboarding appointments, and preparation of letters and documents while maintaining confidentiality and data accuracy. Strong ATS and HRIS skills are essential.

Qualifications

• 1–2 years of experience in Recruiting, Talent Acquisition, Preboarding, or HR Operations.
• Strong understanding of the preboarding, onboarding, and hiring lifecycle.
• Experience using Applicant Tracking Systems (ATS); Taleo is highly preferred.
• Familiarity with HRIS platforms.
• Knowledge of employment compliance and regulatory requirements.
• Proficient in Microsoft Office, including Word, Excel, Outlook, and Teams.

Responsibilities

• Manage end-to-end preboarding and pre-employment requirements.
• Coordinate with Talent Acquisition, HR teams, hiring managers, and candidates.
• Review candidate information for accuracy, including position, compensation, and employment history.
• Verify licenses, certifications, education, and employment eligibility.
• Conduct primary source verification (PSV) when required.
• Coordinate health assessments and onboarding appointments.
• Prepare and deliver offer letters, incentive agreements, and required onboarding documents.
• Ensure compliance with applicable employment regulations and internal HR standards.
• Update candidate information and hiring actions in the ATS.
• Maintain accurate employee documentation in the document management system.
• Track license and certification details, including expiration dates.
• Respond to candidate inquiries and escalations professionally.
• Audit ATS records for accuracy and compliance.
• Support process improvement initiatives and provide backup support to Customer Service as needed.
• Maintain strict confidentiality of candidate and employee information.
