Qualifications
- 1-3 years of experience in mortgage closing, post-closing, or related lending operations
- Experience using loan origination or loan servicing systems
- Proficiency in Microsoft Office Suite and Microsoft 365
- Excellent customer service skills when supporting internal teams, clients, and external vendors
- Sound judgment and effective decision-making abilities
- Exceptional attention to detail and commitment to data accuracy
- Excellent written and verbal English communication skills
- Strong organizational and administrative capabilities
- Ability to manage deadlines and coordinate documentation across multiple stakeholders
Responsibilities
- Support the Post Closing Team with administrative activities related to completed mortgage loans.
- Review daily investor reports and portals to identify suspended loans and newly issued conditions.
- Record suspense notifications and document critical dates, including initial issue dates and cure-by deadlines.
- Monitor the loan pipeline to ensure shipped loans are conditioned or purchased within the required timeframes.
- Review closed loan files to determine whether documents needed to resolve suspense items are already available.
- Submit supporting documents to investors for review and resolution of outstanding conditions.
- Upload, organize, and maintain loan documents in internal systems while ensuring accurate data entry.
- Coordinate with internal departments, external partners, and clients to obtain documentation needed to resolve suspense items promptly.
- Prepare post-consummation closing disclosures and refund checks in accordance with applicable regulatory requirements.
- Process collateral requests with warehouse providers and notify the Secondary Marketing Team when loans become eligible for allocation.
- Request payment histories for aging loans through the Loan Servicing Department.
- Develop working knowledge of agency, investor, state, and TRID guidelines.
- Monitor shared inboxes and route emails and requests to the appropriate team members.
- Prepare reports, summaries, and supporting documentation as requested.
- Perform additional administrative duties that improve the efficiency of post-closing operations.
