Qualifications
- 2 years of experience providing administrative, project coordination, or operational support in a fast-paced environment.
- Ability to follow detailed instructions and accurately complete work using approved copy, templates, checklists, and documented processes.
- Excellent attention to detail, accuracy, and follow-through.
- Strong organizational and time-management skills, with the ability to manage multiple recurring workflows, deadlines, and approval steps.
- Ability to collect, organize, and summarize data in spreadsheets and recurring reports.
- Proficiency in Microsoft 365, including Microsoft Excel.
- Experience with email, content management, webinar, support queue, or reporting platforms preferred.
- Sound judgment when handling sensitive information and recognizing requests, discrepancies, or decisions that require escalation.
- Adaptability and flexibility in learning new tools and processes.
- Ability to document work clearly and collaborate effectively in a remote team environment.
Responsibilities
- Manage Corporate Communications performance metrics; prepare the monthly Marketing placemat, quarterly department and company reports, and biannual or annual reports; maintain historical data and measurement definitions; and flag notable trends.
- Help maintain the company communications and events calendar, tracking audiences, owners, dates, status, outstanding approvals, scheduling conflicts, and potential risks.
- Manage logistics for recurring meetings and events, including invitations, attendee lists, speaker information and assets, approved presentations, reminders, registration and attendance reports, recording uploads, replay pages, follow-up communications, and feedback.
- Build, test, and schedule approved employee communications using provided copy, creative assets, and templates. Coordinate stakeholder reviews, make approved updates, document final approval, and obtain missing information before distribution.
- Build, format, and publish approved intranet content; review assigned pages regularly; update dates, links, contacts, and resources; and maintain an inventory of pages and content owners.
- Review dynamic distribution lists in approved email platforms weekly; confirm that eligible employees and business locations are included; identify removals and discrepancies; and document audience criteria and list updates.
- Monitor Salesforce requests and Corporate Communications-owned inboxes; route incoming items; use approved responses when appropriate; track open requests; elevate or unclear matters; and identify recurring questions that require a standard response or resource.
- Update approved digital signage and company calendar entries, verify that content displays correctly, and flag scheduling conflicts or missing information.
- Perform quality assurance before distribution by checking links, buttons, attachments, contact information, dates, deadlines, expiration dates, desktop and mobile formatting, placeholder copy, and alignment with the approved draft. Archive final communications and supporting assets.
- Create and maintain step-by-step workflow documentation covering key contacts, timelines, approval steps, templates, and tools, incorporating process changes and platform updates.
- Research, test, and document approved AI-supported workflows as directed, following company security, compliance, and brand guidelines. Maintain approved prompts and instructions, and record findings, limitations, and process guidance.
- Monitor enhancements and known issues across approved communications, digital signage, media monitoring, and webinar platforms; summarize workflow impacts; and coordinate approved demonstrations or training.
- Perform other duties as assigned.
