We are seeking a dedicated PMO Analyst to provide crucial business support for the financial administration of our project portfolio. This role focuses on time and resource administration, contract oversight, procurement, and invoice management, ensuring that every euro spent aligns with an approved contract, purchase order (PO), and project budget.
Responsibilities
Contract Administration:
- Review contracts and Statements of Work (SoWs) for completeness, ensuring they align with approved project scopes and budgets.
- Coordinate contract approvals, verifying that each contract matches the available project budget prior to signature.
- Store and maintain contracts in the contract database, consistently updating status, value, validity, and renewal dates.
Procurement:
- Manage purchase orders for projects by requesting, tracking, and amending POs in accordance with procurement policies.
- Conduct three-way checks by matching each PO against the applicable contract and project budget; proactively flag any discrepancies before commitment.
- Process project-related invoices, ensuring accurate coding to the correct project, Work Breakdown Structure (WBS) element, and cost center.
- Investigate any invoice discrepancies—including price, quantity, PO, contract, or time mismatches and drive timely resolution with suppliers, Accounts Payable, and project managers.
- Maintain an up-to-date overview of project actuals, commitments, and expected expenditures vs. budget, promptly highlighting variances and risks to project managers and the PMO.
- Prepare financial inputs for portfolio reviews, Control Board meetings, and annual budget/planning cycles.
- Support month-end and year-end activities, including accruals, recharges, and carry-forward of project budgets, in close collaboration with Finance & Control.
Process Improvement:
- Identify recurring issues within the time-to-pay chain and contribute to process enhancements, automation projects, and future tooling initiatives (e.g., ServiceNow SPM, Ariba Guided Buying).
- Ensure clear documentation, comprehensive work instructions, and an exhaustive audit trail for all financial project administration activities.
Knowledge and Experience Needed
- Comprehensive understanding of project financial administration, including budgets, commitments, actuals, accruals, and expected expenditures.
- Proficient in the procure-to-pay process, encompassing contracts, purchase orders, goods receipt, and invoice matching.
- Familiarity with time registration and its correlation to project WBS, cost allocation, and project recharging.
- Basic knowledge of project management methodologies (e.g., Prince2, Agile) and governance structures.
- 5 years of experience in project control, PMO finance, procurement, or accounts payable within a complex, international setting.
- Proven hands-on experience reconciling data across multiple systems and resolving discrepancies from end to end.
- Experience in preparing financial reports for management and governance boards.
- Proficiency in SAP (PS, MM, FI/CO), CATS, ServiceNow (SPM/Xurrent), Esker or comparable invoice processing tools.
- Advanced Excel skills; Power BI familiarity is a plus.
- Bachelor’s or Master’s degree in Finance, Business Administration, Accounting, or a related field.
- PMO or project management certification (e.g., P3O, Prince2, PMI) is advantageous.
Soft Skills
- Precise, structured, and detail-oriented, with a strong sense of ownership and accountability.
- Analytical thinker and persistent problem solver who follows issues through to resolution.
- Clear communicator, capable of constructively challenging project managers, suppliers, and Finance departments.
- A collaborative team player comfortable working remotely across various time zones and cultural settings.
