I. Job Summary
Provides permitting and regulatory support to the Legal function by assisting in the processing, monitoring, renewal, and documentation of permits, licenses, clearances, and related regulatory requirements needed for company projects and operations. Coordinates closely with internal teams and government agencies to help ensure timely and complete permit compliance.
II. General Responsibilities
PERMIT PROCESSING AND MONITORING
- Assists in the end-to-end processing of permits, licenses, clearances, certifications, and related regulatory requirements for company projects and operations.
- Monitors timelines, validity, renewal schedules, and status of all permits and licenses.
- Prepares and consolidates documentary requirements for permit applications, renewals, amendments, and submissions.
GOVERNMENT AND EXTERNAL COORDINATION
- Coordinates with local government units, national government agencies, regulatory bodies, and other external offices regarding permitting requirements and applications.
- Follows up pending applications, renewals, and approvals to help ensure timely completion.
- Assists in responding to regulatory queries, document deficiencies, and compliance notices under the guidance of the Legal Counsel.
DOCUMENTATION AND RECORDS MANAGEMENT
- Maintains complete, updated, and well-organized records of permits, licenses, applications, approvals, and supporting documents.
- Updates permit trackers and monitoring databases regularly.
- Ensures proper filing and safekeeping of original and electronic copies of all permitting documents.
INTERNAL COORDINATION AND SUPPORT
- Coordinates with Project Management, Design & Engineering, Operations & Maintenance, HR & Admin, and other concerned teams to gather requirements and support permitting activities.
- Assists in identifying permit prerequisites and documentary gaps that may affect project timelines.
- Supports the Legal Counsel in reviewing permitting documents and ensuring alignment with legal and regulatory requirements.
RESEARCH AND REPORTING
- Conducts research on permit requirements, application procedures, and changes in relevant regulations.
- Prepares periodic updates and status reports on permits and licenses for management review.
- Escalates delays, issues, and risks affecting permit processing to the Legal Counsel.

IV. Qualifications
- Graduate of Political Science, Legal Management, Business Administration, Public Administration, Engineering-related course, or any related field
- With at least two (2) to three (3) years of relevant experience in permitting, regulatory coordination, legal support, paralegal work, or compliance-related functions
- Experience in the solar, energy, construction, real estate, or infrastructure industry is preferred but not required
- Familiarity with permit application processes and government regulatory requirements is an advantage
- Strong organization and follow-through skills
- Good written and verbal communication skills
- Proficient in Microsoft Office applications
- Able to manage multiple transactions and deadlines with minimal supervision
