Qoala, a growing HR partner in the Philippines, seeks a detail-oriented HR Generalist (Associate) to support day-to-day operations. You will handle payroll processing, employee administration, reimbursements, and coordination with outsourced vendors while ensuring compliance with Philippine labor regulations.
The role requires a Bachelor’s degree and at least 3 years of HR experience, familiarity with labor laws, HRIS/payroll systems, and strong communication and data privacy skills.
We are looking for a detail-oriented and proactive HR Generalist (Associate Level) to support our day-to-day HR operations. The ideal candidate will be responsible for a wide range of HR administrative duties, with a primary focus on payroll processing, employee administration, reimbursements , and coordination with outsourced vendors . This role is crucial in ensuring smooth HR processes and compliance with company policies and Philippine labor regulations.
1. Payroll & Reimbursement
Prepare and process monthly payroll in coordination with finance and external payroll vendors.
Ensure accurate calculation of salary, benefits, deductions, and statutory contributions.
Handle compliance and regular submissions for all government-mandated benefits including:
Maintain and update all required government portals related to payroll (e.g., My.SSS, PhilHealth, Pag-IBIG online and other relevant mandatory portals).
Manage employee reimbursements and coordinate timely disbursement.
Maintain payroll records, report and support audit and government reporting requirements.
2. Employee Administration
Maintain and update employee files (digital and physical), contracts, and personal data.
Handle onboarding and offboarding processes and related documentation.
Manage employee records for timekeeping, leaves, and absences.
Support with issuance of HR letters such as employment verification.
Monitor and compile reports and data from outsourced partners (headcount, payroll and invoice reconciliation)
Ensure vendor SLA compliance and data accuracy.
Support audits and internal reviews related to external HR services.
4. General HR Support
Assist in rolling out HR policies and employee communication.
Assist in several office expenses, employee reimbursement tracker, and business trip coordination.
Support HR initiatives, events, and ad hoc tasks as required.
Office-based role with occasional coordination with vendors or government agencies.
May require flexibility during payroll cutoffs or compliance deadlines.
