Job Summary
The Payroll Specialist is responsible for the accurate and timely processing of payroll for deployed and internal employees of the manpower agency. The role requires strong knowledge of timekeeping systems, payroll computation, statutory contributions, and compliance with Philippine labor laws. The Payroll Specialist ensures payroll accuracy, resolves discrepancies, and coordinates closely with HR, Operations, and Finance.
Key Responsibilities
- Payroll Processing
- Process weekly, semi-monthly, and/or monthly payroll for deployed and office-based employees.
- Compute salaries, overtime, night differential, holiday pay, rest day pay, allowances, and other statutory or client-based pay components.
- Ensure correct application of manpower contracts, rate matrices, and client billing agreements.
- Prepare payroll registers, payslips, and summary reports.
- Collect, validate, and review timekeeping records (DTRs, biometrics, manual logs, client-approved attendance).
- Verify attendance data including absences, undertime, late entries, overtime, and leaves.
- Coordinate with Site Coordinators, Team Leaders, and Clients for timekeeping clarifications and approvals.
- Maintain accurate timekeeping databases and payroll cut-off schedules.
- Statutory Compliance
- Compute and process government-mandated contributions (SSS, PhilHealth, Pag-IBIG).
- Ensure proper computation of taxes and other mandatory deductions, if applicable.
- Assist in preparation of reports required by government agencies.
- Payroll Adjustments & Reconciliation
- Handle payroll discrepancies, salary adjustments, back pay, final pay, and retroactive pay.
- Process payroll for new hires, transfers, and separated employees.
- Prepare final pay computation including prorated salary and deductions.
- Reporting & Documentation
- Generate payroll-related reports for management, finance, and clients.
- Maintain payroll records, timekeeping files, and employee compensation data.
- Ensure confidentiality and proper safekeeping of payroll information.
- Coordination & Support
- Coordinate with HR for employee movements, salary changes, and disciplinary actions affecting payroll.
- Work closely with Finance for payroll funding, bank uploads, and reconciliation.
- Respond to payroll-related inquiries of employees and clients in a professional manner.
Qualifications & Requirements
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
- At least 1–3 years of payroll experience, preferably in a manpower or staffing agency.
- Strong knowledge of timekeeping systems and payroll computation.
- Familiarity with Philippine labor laws and payroll practices.
- Experience handling high-volume payroll is an advantage.
