Position Overview
The Admissions and Family Engagement Officer is responsible for planning, executing, and monitoring all marketing, communications, and enrollment initiatives that support the school’s strategic priorities in:
- Enrollment growth
- Family retention
- Long-term PreK3–12 positioning
This role ensures that the school’s mission, Catholic identity, and academic strengths are clearly communicated to current and prospective families, while delivering measurable enrollment outcomes.
Key Objectives
- Help fill current and future available seats across expanding grade levels
- Strengthen parent referrals and community trust
- Support family retention through clear communication and engagement
- Contribute to the school’s long-term K–12 growth and sustainability
Responsibilities
Enrollment Marketing and Lead Generation
Objective: Attract prospective families and increase enrollment.
- Respond promptly to inquiries from prospective families.
- Manage the admissions pipeline from inquiry to enrollment.
- Schedule and conduct campus tours and information sessions.
- Organize Open Houses or admissions events at least 1 per quarter.
- Maintain relationships with feeder schools, preschools, and community partners.
- Coordinate referral programs and encourage parent ambassadors.
- Develop and implement enrollment marketing campaigns.
- Create and distribute admissions materials and promotional content.
- Monitor enrollment targets and identify recruitment opportunities.
- Represent the school at community events and educational fairs.
Family Communication and Retention Support
Objective: Strengthen family satisfaction, engagement, and retention.
- Serve as a primary point of contact for prospective and current families.
- Contribute to the parents' orientation.
- Facilitate parent engagement activities and community-building events.
- Support the administration in gathering parent feedback.
- Monitor family satisfaction and identify retention concerns.
- Promote volunteer opportunities and parent involvement programs.
- Assist families in understanding school policies, procedures, and programs.
- Support efforts to increase re-enrollment rates.
Content, Branding, and Visual Materials
Objective: Strengthen the school's identity and public image.
- Ensure consistent use of the school's brand standards and messaging.
- Create or coordinate the production of promotional materials.
- Develop presentations for admissions events and parent meetings.
- Maintain a library of images, videos, testimonials, and marketing assets.
Data, Reporting, and Performance Tracking
Objective: Use data to improve enrollment, communication, and retention outcomes.
- Track inquiries, applications, acceptances, enrollments, and re-enrollments.
- Monitor enrollment funnel metrics and conversion rates.
- Track website traffic, social media engagement, and communication metrics.
- Maintain parent engagement and event participation records.
- Provide recommendations to improve recruitment and retention efforts.
- Support annual enrollment forecasting and strategic planning.
General Provisions
- Support school administration in the mission of integrally forming students (intellectually, humanly, spiritually, and apostolically) in the school
- Positively align, adapts & observes school vision/mission, values, initiatives, principles, policies/guidelines, and culture
- Attend to other school-related matters that may be assigned by supervisor
