Job Description
The Owners Corporation Assistant provides support to the Owners Corporation Manager in the general day
to day running of the office and performs duties as outlined below in relation to the management of Owner’s
Corporations. The Owners Corporation Assistant is a central point of contract for all stakeholders. They need
to be able to liaise with the Owners Corporation Manager to implement basic aspects of the applicable
Victorian Owners Corporation legislation and other specific property related disciplines.
The Owners Corporation Assistant carries out their duties under limited supervision and is responsible and
accountable for their work under the broad scrutiny and direction of the Owners Corporation Manager.
Qualifications and Requirements
Activities:
- Respond to general enquiries from stakeholders including owners, contractors and agents;
- Conduct various tasks to meet clients’ needs and expectations;
- Coordinate maintenance and repairs of properties and facilities;
- Participate in developing and establishing property and facilities contracts;
- Monitor and report on financial activities and maintain business records;
- Select and appoint contractors.
General and Administration:
- Assist with planning and organising Owners Corporation meetings including follow up paperwork and activities;
- Review AGM recordings, preparation of draft meeting minutes for Manager review/publication;
- Cooperation with other Strata Staff Team members in relation to arrears recovery;
- Collect and process property information and reports as required by management;
- Create, distribute and complete ballots of Owners Corporation members;
- Answer phone calls and attend to email enquiries;
- Other duties as directed by the Owners Corporation Manager.
Key Result Areas
- Provide information and assistance to stakeholders regarding properties in accordance with relevant legislation;
- All queries to be responded to within 24 hours (business days). If further time is required, this must be communicated to the stakeholder;
- Maintaining information and property history in the Urbanise database on a daily basis;
- Action maintenance items in a timely manner;
- Liaison with Owners Corporation Manager regarding outstanding items;
- Produce accurate work reports as requested.
