This is not a traditional executive assistant or social media role — and it is not a pure execution role either. Multifaceted Enterprises is shifting towards the implementation of a team of AI agents that will help to handle a significant portion of operations, content management, and systems work. Your job is to support and oversee that work, confirm it landed correctly, handle what the agents cannot, and keep the founder informed without her having to track any of it down.
You will become an integral part of an AI-assisted operation. This will mean less time doing basic tasks from scratch, and more time making sure the right things are happening, catching what fell through, and stepping in where judgment or a human hand is genuinely required.
The right person for this role has worked in a lean founder‑led environment, is comfortable reading AI‑produced outputs and assessing them critically, and knows their way around GHL and this stack without being walked through it.
Key Responsibilities
Executive & Operational Support
- Review and confirm the calendar weekly: verify appointments, prep materials, links, and protected focus time are accurate and complete
- Triage and organize email; flag what needs the founder, handle or redirect what doesn't
- Keep project management tools (Notion, ClickUp) clean and current; confirm AI‑drafted task updates are accurate before they surface to the founder
- Join select calls, take notes, and confirm action items are captured with correct owners and deadlines
- Maintain and update SOPs as processes evolve; flag when a documented process no longer matches how things actually run
- Support research, fact‑checking, and follow‑up tracking that requires human judgment or direct outreach
GHL & Systems Operations
- Review and confirm GoHighLevel automations, pipelines, and onboarding flows built or updated by the AI team; test for errors before they go live as well as periodically from a maintenance perspective
- Monitor active automations for any misfires, gaps, or edge cases — resolve or elevate as appropriate
- Confirm Zapier connections and workflow changes are functioning correctly after updates
- Maintain clean file organization across Google Drive and shared workspaces; catch and correct what automated filing misses
- Help to spot any inefficiencies and raise them proactively
Content Operations Support
- Review and approve agent‑produced content calendars and briefs before scheduling; confirm brand voice, platform formatting, and timing are correct
- Confirm scheduled posts across Instagram, Threads, LinkedIn, and YouTube, etc. have gone live correctly; catch and manually resolve any that failed or published with errors
- Monitor comments and DMs daily; respond using approved messaging, elevate judgment calls, and flag patterns worth the founder's attention
- Maintain and audit the content asset library: confirm files are correctly named, versioned, and accessible
- Handle light video editing and clip formatting when the output requires a human pass: trimming, captions, aspect ratio corrections for short‑form
E-Commerce & Brand Support
- Review Shopify and Printful order status regularly; confirm fulfillment is moving and escalation holds, sync errors, or unfulfilled orders
- Confirm product listing updates, description edits, and image changes have gone through correctly after any agent‑driven updates
- Flag any store‑level issues that require a manual fix or a founder decision
Requirements
- 2+ years of remote operations, executive support, or virtual assistant experience in a founder‑led or multi‑brand environment
- Hands‑on GoHighLevel experience: pipelines, automations, and client onboarding flows — not just navigation
- Demonstrated ability to assess and manage AI‑produced work outputs
- Strong written English and responsive communication during agreed working hours
- Comfortable working alongside AI tools as part of daily operations
- Shopify store operations experience is a plus
Tools to Use
- Must‑haves: GoHighLevel, Google Workspace, Canva, Shopify
- Required familiarity: Claude, Slack, Printful, Notion, Zoom, CapCut, Zapier
- Nice to have: ClickUp, Mailchimp, ManyChat, other AI tools, Loom, OpusClip, content+brand support
What Success Looks Like
- The founder never has to chase an update — agent‑produced work has been reviewed, confirmed, and surfaced to her in a clear, usable format
- Automations, content, and store operations run without visible errors; when something breaks, it is caught and flagged in a timely fashion
- GHL pipelines, content schedules, and fulfillment queues are clean and current — not because you built them all, but because you confirmed they are
- Judgment calls, exceptions, and anything requiring a human touch get mapped and brainstormed so that a clear picture of the issue and any potential solutions are available before pulling the founder in
- You understand which work the agents own and which decisions should be owned by human team members, and you never confuse the two
You’ll Thrive Here If You Are
- A clear, concise, and responsive communicator who flags problems early and brings context, not just the issue.
- Able to operate with transparency and to receive and implement feedback well.
- A proactive, outside‑the‑box thinker
- Comfortable operating alongside AI tools and capable of critically assessing their output
- Rather than just accepting it.
- Detail‑oriented enough to catch what the agents miss.
- Able to hold oversight across multiple brands without needing to build everything yourself.
