Insular Oil Corporation is seeking an Operations Assistant (Receiving & Dispatching) for an on-site role. You will handle receiving, dispatch monitoring, document prep, and coordination with multiple teams to ensure accurate records and compliant operations.
Ideal candidates have a bachelor’s degree in engineering and at least 1 year in terminal operations, with strong attention to detail and proficiency in Excel; SAP is a plus. Willingness to work in a fast-paced environment is expected.

We are looking for a proactive and detail-oriented Operations Assistant (Receiving & Dispatching) to join our Terminal Operations team. The successful candidate will be responsible for receiving incoming petroleum products, monitoring dispatch operations, preparing loading documents, coordinating deliveries, and ensuring accurate documentation while maintaining compliance with company procedures and operational standards.
Receive incoming petroleum products delivered by barges and tank trucks in accordance with company procedures.
Assist the Terminal Supervisor during product receiving operations and independently handle operations when required.
Monitor the safe and accurate loading of petroleum products into tank trucks.
Verify approved sales orders and delivery schedules before dispatch.
Assign available tank trucks based on confirmed delivery requirements.
Prepare and issue Authority to Load (ATL), Delivery Receipts (DR), and apply security seals.
Coordinate delivery concerns with Customer Service, Industrial Specialists, Logistics, and other related departments.
Maintain accurate and organized Sounding Logbooks for all receiving and dispatch transactions.
Monitor check payments and coordinate the transmittal of collections to the Head Office.
Safeguard and monitor unused Delivery Receipts (DRs) and security seals.
Ensure all operational documents are complete, accurate, and properly filed.
Ensure compliance with company safety policies, operational procedures, and documentation standards.
Support daily terminal operations to ensure efficient receiving and dispatch activities.
Perform other duties as assigned, including temporary or permanent deployment to other terminal locations when required.
Bachelor's degree in any Engineering course.
At least 1 year of experience in terminal operations, logistics, dispatching, or a related field.
Strong attention to detail and ability to work with minimal supervision.
Good communication, coordination, and organizational skills.
Proficient in Microsoft Excel; knowledge of SAP is an advantage.
Willing to work in a fast-paced operational environment.
