Job summary

CallTek is seeking a Project Coordinator to support customer service orders and projects from initiation to completion. You will work with customers, vendors, project managers, sales, engineering, and operations to ensure milestones are met and risks are mitigated.

Qualifications

• Experience in project coordination, service delivery, telecommunications, order management, customer implementation, or a related environment.
• Strong organizational and time-management skills with the ability to manage multiple projects simultaneously.
• Excellent written and verbal English communication skills.

Responsibilities

• Coordinate and track customer orders/projects from assignment through installation, activation, and completion.
• Provide clear, timely status updates, next steps, and follow-up dates to customers and internal stakeholders.
• Maintain accurate project documentation, trackers, order notes, milestones, and supporting documentation.
• Manage multiple priorities and workflow tasks using systems such as Salesforce, Smartsheet, Jira, Excel, and other project/order management tools.
• Coordinate site surveys, installation schedules, vendor activities, activation calls, and customer requirements.
• Monitor order progress and proactively address delays, missed milestones, aging orders, and potential risks.
• Communicate regularly with customers, vendors, sales, engineering, and operations teams via email, phone, and Microsoft Teams.
• Handle first- and second-level escalations with urgency and engage project leadership when additional support is required.
• Assist with KPI tracking, forecasting, reporting, and overall project delivery performance.
• Maintain a high level of customer service while driving projects toward timely completion.
