Job summary

CallTek is seeking a highly organized and customer-focused Project Coordinator to support the delivery of customer service orders and projects from initiation through completion. This role collaborates with customers, vendors, project managers, sales, engineering, and internal operations to ensure milestones are met and projects stay on schedule.

Qualifications

• Experience in project coordination, service delivery, telecommunications, order management, customer implementation, or a related environment.
• Strong written and verbal English communication skills.
• Ability to manage multiple projects simultaneously and meet deadlines.

Responsibilities

• Coordinate and track customer orders/projects from assignment through installation, activation, and completion.
• Provide clear, timely status updates and next steps to customers and internal stakeholders.
• Maintain accurate project documentation, trackers, order notes, milestones, and supporting documentation.
• Utilize Salesforce, Smartsheet, Jira, Excel, and other tools to manage workflows and monitor progress.
• Coordinate site surveys, installation schedules, vendor activities, activation calls, and customer requirements.
• Monitor order progress and address delays, missed milestones, aging orders, and risks.
• Communicate with customers, vendors, sales, engineering, and operations via email, phone, and Teams.
• Handle escalations and engage leadership when needed.
• Assist with KPI tracking, forecasting, reporting, and overall project delivery performance.
• Maintain a high level of customer service while driving projects to timely completion.
