The Motorpool Supervisor is responsible for the overall management, maintenance, availability, and safe operation of company vehicles and mobile equipment. The position supervises mechanics, and other motorpool personnel, monitors vehicle condition and preventive maintenance, manages vehicle dispatching and documentation, and ensures compliance with company policies and road-safety requirements.
Supervise the daily operations of the motorpool and ensure vehicles are available for authorized company activities.
Manage vehicle dispatching, scheduling, assignment, and utilization.
Monitor the movement and location of company vehicles.
Ensure vehicles are used only for authorized business purposes.
Maintain accurate vehicle and equipment records.
Plan and monitor preventive and corrective maintenance schedules.
Coordinate vehicle repairs, servicing, inspections, and replacement of parts.
Conduct or arrange regular vehicle inspections and ensure defects are immediately addressed.
Monitor vehicle mileage, fuel consumption, maintenance costs, and repair history.
Ensure vehicles are roadworthy and safe before deployment.
Supervise and monitor mechanics, and other motorpool personnel.
Prepare work schedules and assign duties.
Monitor attendance, performance, discipline, and compliance with company policies.
Conduct toolbox meetings or safety briefings when necessary.
Provide coaching and guidance regarding proper vehicle operation and maintenance.
Maintain updated records of:
Vehicle registration and insurance
Preventive maintenance
Repairs and replacement parts
Fuel consumption
Vehicle dispatch and trip tickets
Driver assignments
Accident/incident reports
Vehicle inspection checklists
Prepare periodic reports on vehicle utilization, maintenance, fuel consumption, and operating expenses.
Coordinate with Project Managers, Operations, HR, Procurement, Finance, and Safety regarding vehicle requirements.
Coordinate with accredited repair shops, suppliers, dealerships, and service providers.
Arrange emergency roadside assistance and vehicle recovery when necessary.
