This offshore-based role is critical in providing accurate administrative, systems, and workflow support across product quality, inspections, compliance, and reporting. By driving digital coordination, document control, and data administration, you will ensure products progress along the critical path efficiently, while technical decisions and physical sample handling remain with the onshore team.
Key Responsibilities:
Fit & Product Workflow Management
- Maintain the seasonal fit calendar and coordinate meeting logistics in line with onshore QA and Buying team needs.
- Coordinate fit model agency bookings, process related invoices, and ensure timely workflow execution.
- Provide administrative support to format, issue, and record fit comments or technical-pack updates as directed by the onshore team.
- Monitor fit-workflow actions against the critical path and promptly elevate overdue or incomplete items.
Quality, Inspections & Audits
- Administer the pre-production and pre-ship sample approval workflows by logging submissions, checking completeness, routing items to the onshore team, and recording decisions.
- Manage the 3rd party inspection tracker, record all bookings, and accurately process inspection invoices.
- Assess 3rd party and supplier self-inspection reports for completeness, review results against standards, and communicate outcomes to suppliers.
- Maintain version control for all QA templates, manuals, and standard operating procedures.
- Coordinate the collection of traceable-fibre documentation, ensuring required origin and chain-of-custody evidence is supplied before shipment.
- Track and validate data for APCO packaging reporting and sustainable packaging certifications.
- Maintain an accurate repository for Australian Cotton documents and ensure B Corp social and environmental standard records are properly maintained.
- Escalate any compliance, legal, or reputational concerns to the QA Manager.
Stakeholder Coordination
- Build effective supplier relationships through clear, timely communication regarding QA documentation and standards.
- Complete routine data-quality checks across QA registers and prepare concise status and exception summaries for the QA Manager.
- Identify process improvement opportunities and document recurring workflow queries.
