Job summary

IQVIA Manila is seeking a detail-oriented Logistics Planner for its Speaker Bureau. You will act as the main contact for venue, food & beverage, and AV vendors and coordinate logistics for meetings for the client’s field force sales reps.

You will collaborate with a core team of meeting planners, manage budgets and timelines, ensure compliance, and maintain documentation throughout the meeting lifecycle. Remote capabilities exist but onsite presence in Taguig is required as needed.

Qualifications

• 2+ years of events planning or customer service experience
• Experience catering to US clients is preferred
• Experience in meeting or event planning is a plus
• Pharma industry experience is a plus
• Familiarity with US cultural norms and practices is beneficial
• Bachelor's Degree required
• Proficiency in Microsoft Office and Outlook is required
• Knowledge of SharePoint, Salesforce and Smartsheet is preferred
• Experience with phone systems and CRM software is a plus
• Ability to work during US standard business hours and be flexible for peak seasons
• Ability to multi-task and maintain attention to detail
• Willing to report onsite in Taguig when needed
• Comfortable working in a fast-paced team environment with strong customer service skills
• Strong sense of urgency and problem-solving abilities
• Excellent communication skills and concise, clear summaries of next steps

Responsibilities

• Collaborate as part of the client Core Team including meeting/planning stakeholders
• Coordinate all aspects of planning and delivery of meeting logistics within budget
• Confirm venue bookings and ensure venue compliance
• Plan and confirm Food & Beverage needs and attendee requirements
• Review and secure audio-visual needs and related requests
• Coordinate vendor confirmations with the Meeting Planner
• Ensure timely completion of tasks and required documents
• Communicate updates to planners and vendors as needed
• Apply client rules for venue suitability and negotiated rates
• Escalate issues impacting meeting compliance or risk
• Complete work within SLA parameters
• Understand system functionalities related to job functions
• Liaise with internal/external stakeholders to share up-to-date information
• Maintain timekeeping standards in Sprout/PSA and log hours
• Other team tasks as assigned
• Able to work onsite in McKinley, Taguig and during night shifts
