Qualifications

• 2+ years of events planning and/or customer service experience
• Bachelor's Degree required
• Pharma industry experience is a plus
• Familiarity with US cultural norms and practices to better understand stakeholders
• Proficiency in PC applications: Word, Excel, PowerPoint, Teams and Outlook
• Knowledge of SharePoint, Salesforce and Smartsheet preferred
• Proficiency with phone systems and CRM technology preferred
• Ability to work during US standard business hours and adapt to peak season
• Ability to multi-task and manage multiple meetings with attention to detail

Responsibilities

• Collaborate with the client Core Team of meeting planners and speaker bureau planners
• Coordinate planning and delivery of meeting logistics within rules and budget
• Confirm venue booking and ensure venue compliance
• Plan and confirm Food & Beverage needs for attendees
• Review and secure audio-visual needs for meetings
• Coordinate venue, F&B, and AV confirmations with the Meeting Planner
• Ensure timely completion of tasks and required documentation
• Communicate with planners and vendors regarding task progress and inquiries
• Apply client compliance rules throughout planning process
• Be flexible to onsite reporting and remote work requirements
• Maintain updated information with stakeholders and adhere to timekeeping policies
