Job summary

Outsourced is hiring a Medical Record Retrieval Specialist to support healthcare-law clients by obtaining and tracking medical records from US facilities. You will use our internal platform (LlamaLab) to send requests, monitor status, and ensure accuracy and privacy throughout the process.

The role is remote from the Philippines with a night-shift schedule (9pm–6am Manila time). Strong internet (≥50 Mbps) and background checks are part of the process.

Qualifications

• 1+ years of experience in medical record retrieval or related fields.
• Familiarity with HIPAA and patient confidentiality.
• Excellent communication and follow-up skills.
• High attention to detail and organizational skills.
• Self-starter able to work remotely and independently.

Responsibilities

• Submit record requests via email and fax using the retrieval platform.
• Identify and verify contact information for providers and facilities.
• Follow up with facilities by phone to ensure timely completion.
• Review received records for accuracy and completeness against requests.
• Log outreach and outcomes in the platform accurately.
• Coordinate with legal/clinical/ops teams as needed.
• Suggest improvements to retrieval workflows and sourcing.

About the Role

As a Medical Record Retrieval Specialist at LlamaLab, you will be responsible for retrieving medical and billing records from healthcare facilities across the United States. You’ll leverage our internal platform to send and track record requests via email and fax, and you’ll follow up directly with facilities via phone to ensure timely completion. Your attention to detail and persistence will help ensure that the records received are accurate, complete, and aligned with the original request.

Key Responsibilities

• Request Initiation: Submit record requests via email and fax using LlamaLab’s retrieval platform.
• Facility Identification: Locate and confirm accurate contact information (fax numbers, email addresses, phone numbers) for healthcare providers and facilities.
• Follow-Up: Call facilities to confirm receipt of requests, follow up on pending items, and resolve any delays or issues.
• Quality Control: Review incoming records to verify that they match what was requested (e.g., correct patient, date range, document type). Flag any deficiencies or incomplete submissions.
• System Updates: Accurately log all outreach efforts, communications, and outcomes within the LlamaLab platform.
• Team Coordination: Collaborate with the legal, clinical, and operations teams as needed to clarify requirements or

Qualifications

• 1+ years of experience in medical record retrieval, medical billing, healthcare operations, or legal support preferred
• Familiarity with HIPAA regulations and patient confidentiality.
• Exceptional communication and follow-up skills.
• High attention to detail and organizational skills.
• Self-starter comfortable working remotely and independently.
• Comfortable using web-based platforms and dialing tools.
• Ability to manage a high volume of record requests simultaneously.

Work Schedule: Monday - Friday (9pm - 6am MNL time)

Must Have atleast 50mbps internet connection

Must be wiling to work (Home-based)
