Job summary

Spica Distribution International Inc. in the Philippines is seeking a Logistics Associate to manage orders, inventory, and shipment tracking. You will coordinate with carriers, prepare purchase orders, and maintain accurate records to support efficient warehouse operations.

The role requires a Bachelor’s in Supply Chain or related field, 1–2 years in logistics or procurement, and proficiency in Excel and SAP/Oracle or similar systems. Strong organization and communication are essential.

Qualifications

• Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or any related field.
• At least 1–2 years of relevant work experience, preferably in warehouse, logistics, procurement, or supply chain operations.
• Experience in demand planning and stock days cover computation.
• Proficient in Microsoft Excel and logistics/inventory management systems or software such as SAP, Oracle, or similar platforms.
• Strong problem-solving and decision-making skills with the ability to address logistics and inventory-related concerns effectively.
• Highly organized and detail-oriented, with the ability to maintain accurate records and documentation.
• Strong time-management skills and ability to manage multiple operational requirements and deadlines.
• Good coordination and communication skills for effective collaboration with suppliers, carriers, warehouse staff, and internal departments.

Responsibilities

• Receive, review, and process incoming orders and ensure that all required delivery and shipping documents are complete and accurate.
• Coordinate with carriers and transportation providers to schedule pickups and deliveries, and monitor shipments to ensure timely delivery.
• Monitor inventory and stock levels through regular audits and accurate updating of inventory records to prevent shortages or excess stock.
• Track inbound and outbound shipments based on supporting documentation and maintain accurate records of shipments, receipts, and inventory movements.
• Prepare purchase orders for materials and office supplies, ensuring accuracy, proper approvals, and timely replenishment.
• Coordinate closely with suppliers, carriers, warehouse personnel, and internal departments to facilitate smooth logistics and supply chain activities.
• Maintain and update logistics and inventory management systems with accurate and timely information.
• Draft, review, and update policies and procedures related to supply chain and importation in support of the organization’s Quality Management System (QMS).
• Prepare reports on shipment status, inventory levels, and delivery performance for monitoring and operational reference.
• Identify and address logistics-related concerns, including delivery delays, damaged goods, inventory discrepancies, and urgent supply requirements.
• Provide timely and effective solutions to operational issues to support continuous and efficient warehouse and head office operations.
