Job Title: Logistics and Inventory Coordinator
Location: Ortigas, Pasig, PH
Work Schedule: Monday – Friday, NZ TIME (Hybrid - 4X Onsite | 1X WFH Fixed Thursday)
The Logistics and Inventory Coordinator supports the efficient management of stock throughout the inventory lifecycle, ensuring product accuracy, quality, and availability. The role manages inventory updates, tracks air and sea freight shipments, coordinates with 3PLs and suppliers, calculates landed costs, verifies invoices and purchase orders, resolves inventory discrepancies, and assists with new product and SKU setup.
The role also supports stock forecasting, purchase orders, supplier and 3PL performance tracking, stakeholder reporting, and continuous improvement of logistics and operational processes.
Assist with managing aspects of the inventory cycle such as receiving incoming stock into our system, tracking depletion rates and stock levels, and ensuring a timely and safe dispatch of orders from our 3PL. This includes booking and keeping track records of shipments via air and sea freight.
Ensure inventory data accuracy by updating the inventory management system on a timely basis to reflect inward receipts or transfers from our suppliers and partners and any other adjustments such as for damaged stock.
Accurately calculate landed costs from quotes and invoices and ensure landed costs are correctly reported in the inventory management system as well as in all relevant spreadsheets, linking all associated costs with the relevant purchase orders.
Verify correct pricing and invoicing and promptly and accurately update order status in the inventory management system/relevant spreadsheets.
Work closely with the wider supply chain team to quickly and efficiently investigate and resolve inventory discrepancies from invoices, inward receipts, invoices and any other correspondence from our suppliers and partners.
Assist with the set-up of new products in the inventory management system such as SKUs, Bill Of Materials, etc.
Support the reporting manager with ad hoc tasks as required. This could include but isn’t limited to assisting with new product set-ups in the inventory management system, maintaining an accurate barcode database, stock forecasts, purchase orders, shipments, products, 3PL and/or suppliers’ performance tracking.
From time to time, you will also be assisting with projects such as reviewing and improving logistics and operations processes such as our quality assurance or recall processes.
Collaborate and clearly communicate with the wider team and external stakeholders as needed.
Assist with providing concise, clear and actionable weekly proactive updates to key stakeholders on inventory trends, slow-moving stock, and potential issues, even in the absence of immediate problems.
Identify opportunities for process improvements and assist with the implementation of new procedures and policies to allow for operational efficiency gains as the business scales.
Actively seek to upskill in both hard & soft skills, driving your own personal growth alongside the wider supply chain team.
Have exceptional attention to detail, and be willing to ask questions to ensure accuracy in all outputs.
Excellent communication skills both verbally and written.
Strong administration and organisational skills - preferably experience in a fast paced environment.
Quick learner and willingness to take on new challenges in this varied and developing Logistics & Inventory role.
Works well independently, and as part of a team and is effective at prioritising workload and multitasking.

Proficiency in MS Office especially Excel and the G Suite (mainly Gmail and Google Sheets).
