Private Advertiser in Metro Manila is seeking an organized Licensing and Documentation Specialist to support government submissions, renewals, and compliance activities for licensing requirements.
The role covers driving duties to government offices, administrative support for licensing documents, and coordination across departments, ensuring timely and accurate processing in a fast-paced environment. You will monitor license status, maintain records, and follow up on pending requirements.
1.) Assist in the preparation, completion, filing, and submission of applications, renewals, permits, licenses, registrations, and other documents required by government agencies and regulatory offices.
2.) Ensure that all required documents and supporting requirements are complete and properly prepared prior to submission.
3.) Coordinate with concerned departments and personnel regarding documents, information, and requirements needed for licensing applications and renewals.
4.) Monitor the status and validity of licenses, permits, registrations, and other regulatory documents and ensure timely renewal.
5.) Maintain organized and updated records of all licensing-related documents, applications, receipts, and transaction records.
6.) Follow up with government offices and regulatory agencies regarding the status of applications, pending requirements, releases, and other licensing concerns.
1.) Liaise and communicate with government agencies, regulatory offices, and other external parties regarding licensing and permit requirements.
2.) Conduct personal follow-ups and transactions with concerned government offices as instructed by the Head of Licensing.
3.) Assist in resolving documentation concerns, discrepancies, and other issues encountered during the processing of licenses and permits.
4.) Negotiate and coordinate professionally with concerned parties to facilitate the timely completion of licensing transactions, within company policies and authorized procedures.
1.) Safely drive company vehicles for official business, including transportation of personnel, documents, applications, permits, and other materials related to licensing activities.
2.) Conduct scheduled trips to government offices, regulatory agencies, suppliers, and other locations as required.
3.) Ensure the proper handling, security, and timely delivery of company documents and materials while in transit.
4.) Maintain cleanliness and proper condition of the assigned company vehicle.
5.) Conduct routine checks of the assigned vehicle and promptly report any maintenance, repair, or safety concerns to the concerned personnel.
6.) Ensure that the assigned vehicle has the necessary documents and complies with applicable registration and operational requirements.
1.) Assist in photocopying, scanning, filing, encoding, and organizing licensing-related documents.
2.) Prepare and submit necessary reports, monitoring sheets, liquidation documents, receipts, and other records related to licensing transactions.
3.) Monitor and properly account for documents, receipts, and other materials received or submitted during official transactions.
4.) Provide timely updates to the Head of Licensing regarding the status of assigned transactions and pending requirements.
1.) Perform other related duties and responsibilities that may be assigned from time to time.
