JOB DESCRIPTION
Serves as the official link between the organization and government agencies/LGUs.
Responsible for preparing, submitting, tracking, and renewing all required permits, licenses, clearances, and regulatory documents to ensure full compliance and avoid operational delays.
1. Permit & Document Processing
- Prepare, verify completeness, and submit applications for:
- Business permits / Mayor’s Permit, Barangay Clearance
- Building, occupancy, electrical/plumbing permits
- Fire Safety Inspection Certificate (FSIC), ECC/Environmental permits
- BIR, SEC, DTI, SSS, PhilHealth, Pag-IBIG registrations/updates
- Other industry-specific licenses, certifications, and clearances
- Pay application/processing fees and secure official receipts
- Follow up on pending applications, attend hearings/inspections, and resolve deficiencies
- Collect signed permits and approved documents upon release
2. Government & Stakeholder Coordination
- Act as primary company representative to LGUs, national agencies, and regulatory bodies
- Build and maintain good working relations with government personnel
- Coordinate internal teams to gather technical, legal, and supporting documents
- Attend consultations, inspections, and meetings as required
3. Monitoring & Compliance
- Maintain a master log of all permits with expiry dates; initiate renewals ahead of deadlines
- Monitor new ordinances, policies, and regulatory changes; report impacts to management
- Ensure all activities align with laws to prevent penalties or suspensions4.
4. Records & Reporting
- Keep organized digital/physical files of applications, receipts, and approved permits
- Submit regular status updates and progress reports to management
- Prepare compliance summaries for audits or internal reviews
5. Other Duties
- Perform fieldwork, document deliveries, and errands as needed
- Assist with notarization, apostille, and other legalization requirements
- Support related administrative tasks assigned by the manager
