Job Purpose:
This position is primarily responsible for managing the leasing operations of assigned properties or property portfolios, including attracting and securing tenants, negotiating lease agreements, maintaining strong tenant relationships, and achieving established occupancy and revenue targets. It also supports the company’s overall business direction and strategic objectives through the effective management and operation of assigned residential, industrial, and commercial properties. This includes ensuring that the requirements and expectations of property owners, management, and tenants are met; preserving and enhancing the value, condition, and integrity of the properties; and achieving the financial and operational objectives set by management.
Key Responsibilities:
Business Development and Marketing:
- Conduct market research and analysis to identify new markets, business opportunities, evolving customer needs and requirements, competitive developments, and relevant technological advancements that may impact the company’s real estate operations.
- Assist the Real Estate Operations Head in developing and implementing growth strategies that promote financial performance, property value, occupancy, and customer satisfaction, including:
- Establish appropriate rental rates through market research and analysis of prevailing market rates, operating costs, overhead, depreciation, taxes, and target profitability.
- Develop and implement appropriate marketing and sales initiatives to maximize property exposure, attract qualified prospective tenants, and maintain a high occupancy rate.
- Coordinate with affiliated real estate brokers and other external partners in the marketing and promotion of available properties and leasing opportunities.
Leasing Operations:
- Maintain an optimal occupancy rate by actively sourcing and attracting prospective tenants and developing and implementing effective leasing and marketing strategies aligned with occupancy and rental income targets.
- Market and promote available residential units, commercial spaces, industrial properties, and other assigned properties to prospective tenants through appropriate channels and marketing initiatives.
- Evaluate the suitability of prospective tenants through comprehensive discussions and consultations and assist them in making informed leasing decisions by providing relevant property information, including but not limited to floor area and layout, facilities and amenities, location advantages, building provisions, and available technical services.
- Review, evaluate, and process prospective tenant applications, including the completion and verification of required forms and documents, financial capacity checks, background and reference checks, and other appropriate due diligence to assess the prospective tenant’s integrity, suitability, and capacity to fulfill lease obligations.
- Prepare and draft lease contracts, taking into consideration the appropriate lease term, commercial conditions, and provisions necessary to protect the interests and assets of the property owner. Coordinate with the Legal Department for review and approval of the provisions and secure final approval from the Real Estate Operations Head.
- Provide approved lease contracts to tenants and coordinate the completion of lease documentation, move-in requirements, and collection of applicable payments prior to occupancy.
- Monitor lease expirations, renewals, vacancies, tenant turnover, and other leasing activities to ensure timely action and minimize vacancy periods and potential revenue loss.
- Manage and maintain positive tenant relationships by promptly addressing tenant inquiries, complaints, requests, concerns, and other leasing-related matters.
- Coordinate with the Technical Services Department regarding repairs, preventive maintenance, renovations, and emergency works for assigned properties. Ensure, in coordination with Technical Services, that vacant units are properly maintained and in suitable condition prior to the scheduled tenant move-in date.
- Assist the Technical Services Department in assessing and evaluating tenant complaints, suggestions, and recommendations that may require operational or management action.
- Supervise, guide, and coach leasing personnel, when applicable, to ensure effective execution of leasing activities and achievement of performance targets.
Financial:
- Coordinate with the Finance Department to ensure the timely receipt and processing of tenant invoices, billings, and other accounts receivable-related documents.
- Assist the Finance Department in following up and collecting outstanding tenant payments, including the submission and collection of required BIR Form 2307 and other applicable tax-related documents, particularly in cases involving delinquent or difficult-to-manage tenants.
Administrative:
- Ensure compliance with company policies, approved procedures, lease agreements, and applicable laws, regulations, and government requirements governing property and leasing operations.
- Review and provide final approval, within the scope of delegated authority, of property and leasing-related documents, including contracts, budget allocations, requests, and other operational documents requiring approval.
- Prepare and submit regular management reports covering occupancy, leasing performance, rental income, operating expenses, maintenance costs, tenant concerns, and overall property performance.
- Perform other real estate operations-related duties and responsibilities as may be assigned by the immediate superior and/or the Chief Executive Officer.
Qualifications:
- Preferably graduate of Property Management, Real Estate, Business Administration, Mechanical, Electrical or Civil Engineering, or any related course.
- Minimum 3 to 5 years of gained experience in Real Estate Industry.
- License in Real Estate and relevant certifications are advantages.
