AP Advisory Inc. in the Philippines seeks a Junior Lawyer to provide administrative and operational support to the Legal Department, helping manage documentation, compliance records, schedules, and communications.
This role serves as a vital link between the department and other units to ensure smooth operations. The position involves legal research related to corporate and regulatory matters, review of contracts, and assisting in filings, notarizations, and governance tasks.
The Junior Lawyer provides administrative and operational support to the Legal Department, ensuring efficient management of legal documentation, compliance records, schedules, and communications. This role serves as a vital link between the department and other departments and business units, ensuring smooth operations and timely delivery of legal and compliance requirements.
Assist in the preparation of legal correspondence, reports, and forms. Comply with filing and security protocol for important documents, ensure accurate filing and easy retrieval of legal documents in a prompt manner.
Support in the execution of legal documentation and contracts, including review, facilitating signature, arranging for notarization, filing, and archiving.
Conduct legal research related to corporate and property transactions, compliance issues, and regulatory matters.
Track legislative and regulatory developments
Interpret and apply applicable laws, regulations, and public governance policies.
Assist in conducting and summarizing legal due diligence including reviewing company records and contracts; as well as new legislative or regulatory proposals.
Prepare corporate documents like meeting minutes, resolutions, and other forms required for corporate governance.
Ensure that private and sensitive information is used, handled, documented, and disposed appropriately.
Assist in special legal or compliance projects as assigned.
Coordinate with internal departments to gather information and documents necessary for compliance purposes.
Coordinate with external counsel and their staff and attend meetings with lawyers.
Schedule and arrange meetings and appointments, ensuring proper documentation and logistics.
Liaise with and distribute project-related information with all levels of the project team and potentially external parties.
Support the preparation and submission of compliance reports to regulatory bodies.
Assist on the liaison with governmental and public regulatory agencies.
Ensure timely and accurate submission of regulatory filings, licenses, permits, and compliance reports.
Maintain updated records of licenses, permits, and other regulatory requirements and remind the relevant business units of the deadlines of renewals well in advance.
Prepare, organize, and maintain legal and compliance documents, records, and case files in both physical and electronic formats.
Ensure proper indexing and timely filing and archiving of documents for easy retrieval when needed and ensuring the security of important legal and other regulatory documents at all times.
Handle administrative duties related to the legal department, including following up on legal matters with stakeholders and external counsels or third parties as may be assigned by direct manager.
Manage departmental calendars, prepare payment requests, and assist in the preparation, tracking, reporting and processing of legal expenses.
Perform other functions which may be assigned by the direct manager from time to time.
Bachelor’s Degree in Legal Management, Political Science, Business Administration, or any related field (law school experience is an advantage).
At least 2 years of post qualification experience, preferably in a legal or compliance department within a large or complex organization.
Knowledge of legal and compliance processes and documentation.
Proficiency in MS office basics, such as Word, Excel, PowerPoint, Teams, SharePoint, etc.
Skilled in document and workflow management
Proven experience working with or in government or regulatory bodies is preferred.
Excellent research and analytical skills.
Highly organized with great attention to detail, ability to multitask and keep projects and matters on track.
Proven ability to work collaboratively in a team environment, with strong communication and interpersonal skills.
Familiarity with legal technology and tools, and a willingness to continuously improve processes and workflows.
Experience in land acquisition and titling preferred.
Confidentiality and discretion in handling sensitive information.
