Job summary

Zuellig Pharma is seeking a detail-oriented Order Processing Specialist in Taguig, Philippines. You will handle order entry, coordination with Sales and Credit, and ensure data accuracy while supporting our QA initiatives.

You will also liaise with clients and forwarders, maintain logs, and contribute to process improvements within ISO 9001 and ISMS frameworks. Join a team focused on healthcare accessibility and operational excellence.

Responsibilities

• Process orders accurately and promptly from multiple sources.
• Coordinate with Sales and Credit for approvals before cut-off.
• Verify data completeness to prevent errors in processing.
• Coordinate with clients, forwarders, and other departments.
• Update PO logs and support Mercury Drug direct-to-store accounts.
• Maintain POI uploading templates and data mappings for accounts.
• Retrieve and upload POS from customer portals to shared folders.
• Provide root-cause analysis of order cancellations for reports.
• Support CMIR, UOM updates for RPA/POI enrollments.
• Handle customer inquiries and complaints with timely responses.
• Ensure activities comply with SOPs and QA standards.
• Prepare for ISO/GSDP/ISMS/client audits.
• Participate in internal quality audits.
• Assist in client audits as needed.

Duties And Responsibilities

• Order Processing
• 1.1 Facilitate accurate and prompt processing/encoding of orders placed through
• Various Order Sources
• 1.2 Coordinates all sales orders that are on hold requiring PAF and credit approval with Sales, and Credit for releasing before specified cut-off time.
• 1.3 Checks completeness of necessary data in order processing to prevent errors.
• 1.4 Coordination with other departments and external parties (clients, forwarders, etc.) as needed.
• 1.5 Updating Purchase Order (PO) logs for specific accounts (Mercury Drug) Direct to Store.
• 1.6 Process of manual template for POI Uploading for specific accounts Mercury Drug Direct to Store.
• 1.7 Downloads Pos from customer portal and upload in the Bottomline shared folder.
• 1.8 Provide the root cause analysis of cancelled orders and RUDs to CBM, and SCM for CSL references and client report purposes.
• 1.9 Request for updating Customer Material Info Record (CMIR), Unit of Measure (UOM), and ship to mapping for customers enrolled in Robotics Process Automation (RPA) and Purchase Order Interface (POI).
• Customer Service
• 2.1 Handles customer inquiries and complaints.
• 2.2 Provide feedback and results of investigation within the required response timelines.
• Quality Assurance
• Ensure that activities are performed to carry out procedures and activities based on ISO 9001 and ISMS current version in compliance with Regional QA Standards.
• Ensure that all activities are performed in accordance with the Standard Operating Procedures (SOP) and Work Instructions (WI) as indicated in the Quality Manual.
• Ensure compliance with Product Vigilance guidelines. Adherence to company rules and regulations at work
