Oversees effective execution of the daily activities of Materials Planning and Inventory Management Department including proper supervision of staff daily activities; control of expenses, continuous monitoring of inventory movement, incoming deliveries and issuances, sections compliance to policies and procedures and inventory management practices including monitoring of suppliers’ and requesting department’s compliance.
Responsible for planning, organizing, directing, controlling, monitoring of compliance and evaluating the staff and overall sections’ activities and performance expectations.
Responsible for developing the company’s inventory control management by identifying inventory problems and establishing control measures.
1. Supply Management
- a. Manages incoming and outgoing movement and storage of materials.
- b. Reviews and signs prepared RR (Receiving Reports) and daily log report of sales invoices.
- c. Checks and signs prepared Purchase Requisitions forms.
2. Assurance Management
- a. Manages inventory of materials to maintain the required supply.
- b. Monitors material and supply inventories through computer information system.
- c. Directs the maintenance of inventory records, replenishment of stocks, and planning for future requirements based on orders, schedules, and forecasts.
3. Materials Forecasting
- a. Applies statistical methods to estimate future materials requirements.
- b. Analyses market and delivery conditions to determine present and future material availability
- c. Develops and manages material planning functions for goods and materials demanded by the Hospital.
4. Quality Assurance and Compliance
- a. Monitors and analyzes vendor delivery performance and coordinates with the Procurement Department to ensure conformance to the specified requirements as stated in the purchase order.
5. Process Improvement
- a. Directs and formulates Policies & procedures to make certain materials are available or issued when needed.
- b. Develops and installs clerical, office procedures, and practices.
- c. Recommends methods for improving efficiency and reducing inventory of materials while maintaining a high level of on-time delivery.
- d. Plans study of work problems and procedures such as organizational change, communications, information flow, integrated service methods, and inventory control or cost analysis.
- e. Confers with the Management and staff to implement plans and recommendations for cost analysis and variance control.
- f. Gathers and organizes information on problems or procedures. Analyses data gathered and develops solutions or alternative methods of proceeding. Documents findings of study and prepares recommendations for implementation of new systems, procedures or organizational changes. Confers with personnel concerned to ensure successful functioning of newly implemented systems or procedures.
