This is a remote position.
We are looking for a full-time, remote Internal Payroll Coordinator to manage and coordinate the company side of the payroll process and serve as the primary operational link between internal teams and our third-party payroll provider.
This role supports the full U.S. payroll cycle, including payroll preparation and validation, processing coordination, payment execution, reconciliation, reporting, and issue resolution.
The ideal candidate has hands-on U.S. payroll experience, is detail-oriented, organized, comfortable working with numbers and large volumes of information, and able to manage strict recurring deadlines.
This is a payroll coordination and control role that requires practical knowledge of U.S. payroll processes, including federal, state, and local tax withholding.
Key responsibilities include:
Maintain and coordinate payroll-related employee and worker information.
Collect and validate time, attendance, pay changes, bonuses, reimbursements, deductions, tax information, and payroll adjustments.
Follow up with supervisors and internal teams to ensure required payroll information is complete and approved.
Submit accurate and authorized payroll information within established deadlines.
Coordinate directly with the third-party payroll provider throughout each payroll cycle.
Review preliminary payroll reports and identify errors, missing workers, unusual amounts, tax withholding issues, and other discrepancies.
Coordinate corrections and prepare payroll for authorized management approval.
Monitor payroll execution and confirm that approved payroll has been processed.
Review and coordinate the resolution of failed, rejected, delayed, or incorrect payments.
Reconcile completed payroll against approved source information and provider reports.
Maintain payroll reports, approvals, reconciliation records, and supporting documentation.
Coordinate payroll-related employee and worker inquiries.
Assist with payroll accounting, reporting, periodic documentation, and process improvements.
Hands-on experience processing or coordinating U.S. payroll is required.
Working knowledge of U.S. federal, state, and local payroll tax withholding requirements.
Practical experience reviewing payroll information, deductions, adjustments, tax withholdings, payroll reports, and payment results.
Experience identifying and resolving payroll discrepancies or coordinating corrections with a payroll provider.
Experience working with a third-party payroll provider or payroll processing system.
Strong numerical accuracy and attention to detail.
Ability to review payroll data and identify missing, inconsistent, or unusual information.
Good organizational, reconciliation, and problem-solving skills.
Ability to manage recurring payroll deadlines and follow up on outstanding requirements.
Strong written and verbal English communication skills.
Ability to coordinate professionally with employees, managers, internal departments, and external service providers.
Ability to handle confidential payroll, compensation, banking, tax, and employee information responsibly.
Ability to work independently in a structured remote environment.
Comfortable using Microsoft Outlook, OneDrive, Microsoft 365/Office applications, spreadsheets, online collaboration tools, and payroll, timekeeping, or accounting systems.
General accounting, finance administration, or data-entry experience alone does not satisfy the minimum qualification unless the candidate also has hands-on U.S. payroll experience.
Preferred Qualifications:
Educational background in Accounting, Finance, Business Administration, or a related field.
Experience supporting U.S. payroll for a distributed or remote workforce.
Experience with payroll reconciliation, payroll reports, tax withholding, and financial documentation.
Experience working with high-volume employee or worker records.
Experience using payroll, timekeeping, accounting, or financial systems.
Compensation negotiable based on experience and qualifications.
Fully remote work environment.
Structured payroll processes and clearly defined responsibilities.
Long-term opportunity within a growing organization.
Exposure to accounting, payroll controls, reconciliation, and financial operations.
Opportunity to work across the full U.S. payroll cycle and apply existing payroll expertise.
