About the Role
We are looking for an experienced and detail-oriented HubSpot Administrator to own, manage, and continuously improve the company’s HubSpot CRM platform.
Key Responsibilities
HubSpot Administration
- Serve as the primary administrator and subject matter expert for HubSpot CRM.
- Manage users, permissions, teams, and security settings.
- Maintain pipelines, deal stages, custom objects, workflows, and custom properties.
- Configure automation and business processes.
- Manage lists, forms, sequences, templates, and playbooks.
- Ensure the CRM remains organized, scalable, and user-friendly.
CRM Data Management & Quality
- Monitor CRM data accuracy, completeness, and consistency.
- Identify and resolve duplicate records.
- Clean and maintain contact, company, and deal records.
- Establish and maintain standardized naming conventions.
- Audit required fields and data entry practices.
- Ensure sales representatives maintain accurate opportunity stages and next steps.
- Drive improved CRM adoption and data discipline across the organization.
Reporting & Dashboards
- Develop and maintain dashboards and reports covering:
- Sales pipeline and forecasting
- Close rates
- Sales activity metrics
- Win/loss performance
- Sales by manufacturer
- Territory performance
- Project pipeline
- Marketing effectiveness
- Vendor reporting requirements
- Generate recurring reports for management and external partners.
- Improve reporting accuracy and provide actionable business insights.
Sales Process Improvement
- Partner with sales leadership to improve the sales process and opportunity lifecycle.
- Identify process bottlenecks and recommend improvements.
- Develop and maintain consistent processes for:
- Lead qualification
- Opportunity management
- Proposal tracking
- Specification tracking
- Bid management
- Customer follow-up
- Lost opportunity analysis
Automation
- Design, implement, and optimize HubSpot automation, including:
- Lead routing
- Internal notifications
- Task creation
- Follow-up reminders
- Email automation
- Customer nurturing campaigns
- Sales sequences
- Pipeline management workflows
Marketing Support
- Work closely with marketing to build and maintain landing pages and forms.
- Support email campaign management and contact segmentation.
- Develop automated customer journeys.
- Monitor and measure campaign performance.
- Support lead generation initiatives.
Integrations
- Maintain and support HubSpot integrations with platforms such as:
- Gmail and Google Workspace
- Outlook / Microsoft 365
- QuickBooks
- Website forms
- Calendars
- Phone systems
- Electronic signature platforms
- Marketing tools
- Other third-party applications
- Identify and recommend new integrations that can improve efficiency and business processes.
User Training & Support
- Serve as the internal HubSpot resource for employees.
- Train new users and conduct refresher training as needed.
- Create user documentation, processes, and best practices.
- Respond to HubSpot-related questions and troubleshoot issues.
- Encourage and support company-wide CRM adoption.
Continuous Improvement
- Stay up to date with HubSpot updates, features, and capabilities.
- Recommend new tools and functionality that improve:
- Productivity
- Reporting
- Automation
- Customer experience
- Sales efficiency
Qualifications
Required
- At least3 years of experience administering HubSpot CRM.
- Strong knowledge ofHubSpot Sales Hub and Marketing Hub.
- Hands-on experience creating workflows and automation.
- Experience building dashboards and reports.
- Strong analytical and problem-solving skills.
- Excellent attention to detail.
- Excellent written and verbal communication skills.
- Advanced Microsoft Excel skills.
- Ability to manage multiple priorities and work independently.
Preferred
- HubSpot certifications.
- Experience with HubSpot Marketing Hub and/or Service Hub.
- CRM migration experience.
- Knowledge of APIs and third-party integrations.
- Experience with reporting and business intelligence tools.
- Experience supporting outside sales organizations.
- Experience in construction, recreation, architectural products, manufacturing, or related industries.
