Job Overview:
We are seeking a highly organized and detail-oriented HR & Recruiting Coordinator to support corporate and community hiring from job posting and candidate coordination through onboarding and employment-record follow-up. The ideal candidate will have hands‑on experience with ATS platforms and job boards, strong communication and administrative skills, and the ability to manage multiple openings and stakeholders while maintaining accurate recruiting data and a positive candidate experience. This role will also support recruiting dashboards, background checks, onboarding processes, HR reporting, and the identification of staffing risks and compliance follow‑ups.
Key Responsibilities:
- Recruiting Systems & Job Postings
- Manage approved job postings and user access in Indeed, Glassdoor, Jobvite, Monday.com, and other assigned systems.
- Create, update, audit, sponsor, and close postings while monitoring budget, branding, pay‑transparency language, and accuracy.
- Maintain career‑site content and coordinate approved social media recruiting campaigns.
- Assist community leaders with ATS questions, automated sourcing, candidate messaging, and hard‑to‑fill openings.
- Submit monthly Indeed community allocations or other approved recruiting‑cost reports to Accounting.
- Candidate Coordination & Experience
- Review resumes against approved job requirements, organize qualified applicants, and schedule interviews for recruiters and hiring leaders.
- Coordinate candidate communications, interview reminders, recruiting campaigns, and timely professional rejection notices.
- Track candidate pipeline status, offer acceptance and decline reasons, and new‑hire start dates.
- Monitor Indeed and Glassdoor reviews, respond when authorized, and escalated recurring themes to HR leadership.
- Hiring, Onboarding & Employment Records
- Coordinate corporate onboarding schedules and maintain onboarding checklists for corporate and community leadership hires.
- Maintain signed offer‑letter and employment‑agreement folders and track required employee‑file documents.
- Initiate approved background checks, track clearance status, and file results in accordance with company privacy and retention practices.
- Track I‑9 completion and re‑verification reminders without independently determining work authorization.
- Coordinate onboarding materials, welcome items, and 30/60/90‑day check‑ins for new leaders.
- Maintain leadership vacancy and weekly recruiting dashboards by community, region, role, and recruiter.
- Track time‑to‑fill, pipeline activity, turnover trends, agency usage, overtime, and chronic staffing instability.
- Monitor communities with high agency usage, excessive overtime, or difficult vacancies and coordinate support calls with recruiters and regional leaders.
- Send weekly recruiting‑update reminders and follow up on missing information.
- HR Programs & Compliance Administration
- Maintain the approved job‑description library and support wage requests and market‑comparison research using approved tools and sources.
- Track required license or certification verification for applicable roles and mandatory training completion.
- Track assigned employee‑relations requests, unemployment‑response deadlines, or workers’ compensation administrative follow‑up and escalated to HR.
- Administer assigned recognition programs, service awards, name tags, swag orders, and company‑event logistics.
- Support HR and recruiting reporting requests and maintain accurate records with appropriate confidentiality.
Qualifications:
- Two or more years of recruiting coordination, HR administration, talent acquisition support, or high‑volume scheduling experience.
- Hands‑on experience with an ATS and job boards; Indeed, Glassdoor, Jobvite, and Monday.com experience is strongly preferred.
- Working knowledge of candidate communications, offer and onboarding workflows, background‑check coordination, and confidential record handling.
- Strong spreadsheet, dashboard, reporting, and data‑quality skills.
- Excellent written and spoken English; experience supporting multiple locations or senior living/healthcare hiring is preferred.

Role Scope:
This role provides coordination and administrative support. Recruiters, hiring managers, HR leaders, and legal counsel retain responsibility for selection decisions, compensation approvals, employee‑relations decisions, and legal compliance determinations.
