Job Summary:
The HR Documentation is responsible for creating, managing, updating, and safeguarding all HR-related documents and records. This role ensures compliance with company policies and legal regulations by maintaining accurate and up-to-date personnel records, HR templates, policies, and procedures.
JOB DESCRIPTION: (Onboarding & Offboarding)
Key Responsibilities:
- Develop, format, and maintain HR documentation, including employment contracts, offer letters, employee handbooks, and policy manuals.
- Update the Roster file with information for new employees.
- Provide agency IDs for new employees.
- Help new employees apply for bank cards. Check in with new employees who have pending BPI application statuses.
Remind all departments to submit resignation forms in Drive for employees who have resigned or been terminated.
- Ensure that all HR documents comply with legal and organizational standards.
- Maintain and update employee records in both digital and physical formats.
- Manage documentation related to onboarding, offboarding, disciplinary actions, and performance evaluations.
- Collaborate with the HR team to review and revise policies and procedures regularly.
- Respond to internal requests for documentation and records in a timely and confidential manner.
- Ensure the security and confidentiality of HR files and sensitive employee information.
- Assist in audits by providing necessary documentation and records.
- Support the implementation of HR software or digital recordkeeping systems.
- Train HR team members and other staff on proper documentation practices.
JOB DESCRIPTION: (FOR EXISTING EMPLOYEE & RECRUITMENT)
Key Responsibilities:
- Ensure that all employee for APE Renewal is updated.
- Maintain and update employee records in both digital and physical formats.
- Manage documentation related to APE Renewal (Medical Requirements, NBI, &Brgy. Clearance).
- Provide agency IDs for APE employees.
- Assist recruiters in posting job advertisements on job boards, social media, and the company website.
- Help screen resumes and shortlist qualified candidates based on job requirements.
- Schedule interviews and coordinate logistics between candidates and interview panels.
- Maintain accurate candidate records in the applicant tracking system (ATS).
- Follow up with candidates throughout the hiring process.
- Draft communication emails (interview confirmations, rejection letters, offer letters, etc.).
- Support in organizing career fairs, hiring events, and campus recruitment drives.
- Perform background checks and reference verifications as needed.
QUALIFICATIONS:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1–3 years of experience in HR administration or documentation.
- Familiarity with labor laws and HR best practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and HRIS systems.
- Has the ability to communicate with people at all levels.
- Confident and with strong leadership skills.
- Can handle and lead a team with confidence.
- Good communication skills both oral and written.
- Strong attention to detail and organizational skills.
- Ability to handle confidential information with discretion.
- Can work Monday to Saturday schedule (half-day).
- Can start immediately once hired.
- Background in Manpower Company is an advantage (Janitorial/Housekeeping/Manpower) but not a requirement.
