Job Description
- Ensures HR-related processes, from onboarding to offboarding, are executed by collaborating with multiple departments (HR Specialists, Finance, Legal, and Accounting).
- Assists HR Specialists with employee orientations and addresses employee inquiries.
- Maintains and secures employee records, ensuring databases are updated and confidentially managed within HR files.
- Prepares all HR-related documents requiring attention and signatures.
- Coordinates with the Marketing department for employee IDs and other HR-related requests.
- Tracks and transmits all signed documents required for payroll and benefits processing (e.g., government numbers, ATM accounts) to the CompBen Specialist and Finance.
- Monitors and reports changes in employee movement and employment status to managers.
- Communicates personnel status changes to the CompBen Specialist and Finance.
- Oversees government‑mandated benefits, including loan applications.
- Consolidates, encodes, and updates data in the system daily.
- Tracks leave credits and coordinates with HR Specialists and Finance.
- Participates in meetings to ensure alignment with respective teams, groups, or departments.
- Provides assistance to job training cadets assigned to their team, group, or department.
- Monitors employee resignations and clearances, ensuring smooth transitions and final pay processing.
- Attends HR meetings upon request and submits reports as required by the HR Head.
- Processes and oversees clearances, such as Pre‑employment Medical Exams and Background Checks, for successful deployment.
Required Skills
- Possesses a keen eye for details, design, and presentation aesthetics.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office (Excel, Word, and PowerPoint).
- Proficiency in Canva is an added advantage.
- Capable of expressing ideas effectively while maintaining self‑control.
- Good understanding of employment laws and regulations.
- Knowledge of HR processes and best practices.
