Job summary

HelloConnect in the Philippines is seeking a People Shared Services Associate to support HR data management, data entry, and records maintenance across the employee lifecycle. You will manage contracts, certificates, benefits data, and archiving in Workday while ensuring data quality and confidentiality.

The role emphasizes collaboration with regional teams, adherence to privacy laws, and contributing to continuous improvements in HR data processes.

Qualifications

• Bachelor’s degree in Human Resources, Psychology and/or related field.
• At least two years of solid experience in HR data management.
• Experience with HR processes, systems and tools across employee lifecycle.
• Proven skills in managing ERP systems, databases and reporting.
• Familiarity with HR ticketing/case management systems (ServiceNow, Jira, Workday).

Responsibilities

• Process HR data transactions in the HRIS including onboarding new hire contracts, registrations, transfers, promotions, movements, contract changes, and terminations.
• Facilitate time and tracking administration, benefits and other related to compensation and benefits administration such as letter changes, leave administration, salary changes and the likes.
• Maintain and update employee master data records with accuracy and confidentiality, including personal information, organizational data, compensation, and employment details.
• Manage personnel documentation, including courses, performance records, employment certificate, reference letters and other relevant employment documentation.
• Maintain accurate competence files and support the maintenance of the electronic filing system structure.
• Ensure timely processing of data change requests submitted via HR ticketing systems (e.g., ServiceNow, Jira, or equivalent).
• Coordinate with regional HR teams to obtain missing or incomplete data.
• Archive all personnel-related files securely within the organization's HR database.
• Maintain data integrity and facilitate the proper flow of information to relevant stakeholders during day-to-day operations.
• Carry out additional related responsibilities and ad-hoc duties as requested.
