This role oversees day-to-day HR coordination, employee documentation, HR transactions, and client coordination, while ensuring accurate reporting and compliance with Philippine regulations.

This position is responsible for overseeing day-to-day HR coordination while maintaining effective communication with both employees and assigned clients. The role covers employee documentation, HR transactions, employee relations, client coordination, reporting, and compliance support.
The successful candidate should be comfortable working in a service-driven environment and managing several employee and client requirements simultaneously. Experience in HR outsourcing, BPO, EOR, RPO, consulting, or managed services is an advantage.
Keep employee information, personnel records, and HR databases current and properly organized.
Prepare and coordinate employment-related documents, contracts, and personnel forms.
Facilitate HR transactions throughout the employee lifecycle, including onboarding, regularization, transfers, and separation.
Handle employee requests involving certificates, employment verification, government forms, and other HR-related documents.
Track attendance, leave applications, and other employee administrative matters.
Work with Payroll and Finance teams to validate and update employee data.
Ensure employee files are complete, accurate, and properly maintained.
Act as an HR resource for employees regarding workplace concerns, policies, and general HR inquiries.
Assist in conducting orientations and communicating company policies and procedures.
Evaluate employee concerns and coordinate appropriate action or escalation when required.
Provide administrative support for employee discipline and case documentation.
Assist HR Management in resolving workplace issues in accordance with company policies and applicable labor standards.
Contribute to employee engagement and retention programs.
Maintain professionalism and confidentiality when handling sensitive employee matters.
Establish and maintain productive working relationships with client contacts.
Coordinate employee-related requests between clients, employees, and internal departments.
Monitor client requirements and ensure deliverables are completed according to agreed timelines.
Provide timely updates on staffing, onboarding, employee concerns, and HR operational matters.
Address client inquiries professionally and coordinate with the appropriate internal team when additional support is needed.
Participate in periodic client discussions to understand concerns, service requirements, and potential areas for improvement.
Develop and maintain regular HR reports required by assigned clients and internal management.
Consolidate information relating to:
Employee headcount
Attendance and absenteeism
Leave activity
Employee transfers and other movements
Recruitment and onboarding progress
Employee turnover and attrition
HR documentation and compliance
Update HR trackers, monitoring files, and reporting dashboards.
Prepare data summaries and presentations for management or client discussions.
Review reports for completeness and accuracy before submission.
Ensure recurring reports are delivered within established deadlines.
Safeguard confidential employee and client information.
Ensure HR records and documentation follow internal procedures and applicable Philippine regulations.
Assist with internal HR audits, documentation checks, and compliance activities.
Coordinate with relevant government offices when employee-related documentation or statutory matters require assistance.
Monitor documentation requirements and follow through on pending HR compliance items.
Maintain appropriate confidentiality when handling employee, payroll, and client information.
Bachelor's degree in Human Resources, Psychology, Business Administration, or a related discipline.
At least 7 years of relevant HR experience, preferably covering HR operations and employee/client support.
Background in BPO, HR outsourcing, EOR, RPO, HR consulting, shared services, or managed services is preferred.
Familiarity with Philippine employment practices and statutory requirements involving SSS, PhilHealth, Pag-IBIG, BIR, and DOLE.
Practical experience in employee relations, HR documentation, and employee lifecycle processes.
Experience creating HR reports, workforce metrics, trackers, or dashboards.
Good working knowledge of Microsoft Excel, Word, PowerPoint, and Google Workspace.
Exposure to HRIS, payroll applications, employee management platforms, or ticketing tools is an advantage.
Strong written and verbal English communication skills.
