PROVENANCE DISTRIBUTIONS INC. seeks an experienced HR & Admin Executive (APAC) to manage day-to-day HR and administrative needs for our Philippine operations and to coordinate HR activities across APAC markets.

We are looking for an experienced and highly detail-oriented HR & Admin Executive (APAC) to manage day-to-day HR and administrative requirements for our Philippine operations while supporting and coordinating HR activities across our APAC markets.
This is a hands‑on HR generalist role covering recruitment, employee lifecycle management, employment contracts, payroll administration, statutory benefits, employee relations, labor compliance, HR systems, and regional HR coordination.
The successful candidate will work directly with management, employees, local HR teams, and professional advisers across different markets. The role requires strong knowledge of Philippine HR practices and labor requirements, excellent attention to detail, and the ability to independently manage HR processes from recruitment through employee separation.
Recruitment & Employee Lifecycle
Manage and coordinate end-to-end recruitment, including job postings, sourcing, screening, interviews, offers, and pre-employment requirements.
Coordinate onboarding, probation, regularization, performance reviews, employee movements, contract renewals, and offboarding.
Maintain accurate recruitment, headcount, and employee-status records.
Support employee engagement, training, and other people initiatives.
Employment Contracts & Labor Compliance
Prepare and administer employment contracts, offer letters, addenda, regularization documents, employee notices, and separation documentation.
Ensure employment terms, compensation, benefits, and company requirements are accurately reflected in employee documentation.
Maintain strong working knowledge of Philippine labor laws, DOLE requirements, and statutory employment practices.
Research applicable employment requirements across supported APAC markets and coordinate with local HR teams and qualified labor‑law advisers where required.
Maintain and update HR policies, employee handbooks, employment templates, and procedures.
Monitor regulatory developments and expedite matters requiring specialist legal interpretation.
Payroll & Statutory Benefits Administration
Manage Philippine payroll preparation, including employee master data, attendance, leave, compensation, allowances, deductions, and other payroll inputs.
Prepare and validate payroll registers prior to Finance and management approval.
Administer routine employee statutory requirements involving SSS, PhilHealth, and Pag-IBIG, including registrations, updates, contribution schedules, and required submissions.
Coordinate statutory contribution payments with Finance and maintain complete remittance records.
Manage payroll changes involving new hires, salary adjustments, bonuses, unpaid leave, final pay, and employee separations.
Coordinate employee tax information and applicable BIR employee requirements with Finance and the company's accounting/compliance provider.
Maintain a comprehensive payroll and HR statutory compliance calendar.
Employee Relations & HR Operations
Serve as a primary point of contact for routine employee HR matters.
Support management with attendance, performance, conduct, grievances, disciplinary matters, and other employee relations concerns.
Maintain accurate and confidential employee 201 files and HR records.
Administer leave, attendance, employee documentation, clearances, and final‑pay coordination.
Ensure employee matters are handled professionally, consistently, confidentially, and with appropriate documentation.
APAC HR Coordination
Coordinate HR requirements across supported APAC markets.
Partner with established local HR teams on recruitment, employee movements, employment documentation, reporting, and regional initiatives.
Provide direct HR coordination for markets without dedicated local HR resources.
Work with local professional advisers where country‑specific employment expertise is required.
Help maintain consistent HR standards and governance while accommodating local market requirements.
HR Systems & Administration
Maintain accurate employee information and workflows within Sprout HR and other company systems.
Prepare HR reports, trackers, headcount information, and management updates.
Support Philippine office administration, employee requirements, company events, and other administrative activities.
Bachelor's degree in Human Resources, Psychology, Business Administration, Legal Management, or a related discipline.
3–5 years of progressive HR generalist experience.
Strong practical knowledge of Philippine labor practices, DOLE requirements, and statutory employment requirements.
Hands‑on experience with payroll administration and SSS, PhilHealth, and Pag‑IBIG processes.
Demonstrated experience preparing and administering employment contracts and HR documentation.
Strong experience in recruitment, onboarding, employee relations, performance management, and offboarding.
Experience using an HRIS or payroll platform. Sprout HR experience is an advantage.
APAC or multi-country HR exposure is strongly preferred.
Strong written and verbal English communication skills.
We are looking for a hands‑on HR professional who combines strong attention to detail with sound judgment and ownership.
You should be comfortable preparing employment contracts, administering payroll and statutory benefits, handling employee matters, researching labor requirements, and coordinating with management and professional advisers.
You do not need to be an employment‑law expert across every APAC jurisdiction. You should, however, know how to identify potential compliance issues, research requirements, engage the appropriate local expertise, and ensure HR processes are properly documented and implemented.
