We are looking for an Admin & HR Officer preferably with background in ISO/QMS to support day-to-day office operations, HR administration, and ISO/QMS requirements. The role will be responsible for maintaining accurate documentation, supporting compliance with labor regulations and ISO standards, and assisting with HR, administrative, and audit activities.
Candidates with Japanese language skills and/or ISO/QMS experience are highly preferred, although these are not mandatory. Candidates without prior ISO experience may be considered and will be provided with an ISO familiarization program.
HR & Administrative Support
Assist with recruitment coordination, onboarding, employee records, and HR documentation.
Manage employee timekeeping, attendance, and government-mandated benefits such as SSS, PhilHealth, and Pag-IBIG.
Support compliance with Philippine labor laws and DOLE requirements.
Assist in employee engagement activities, training coordination, and HR communications.
Manage office supplies, purchasing, vendors, and administrative requirements.
Coordinate office logistics, including meetings, business travel, and other company activities.
Monitor office facilities, maintenance, company drivers, and vehicle-related requirements.
Prepare administrative reports and perform other general office support functions as needed.
ISO/QMS Responsibilities
Maintain, organize, and control ISO/QMS documentation and records.
Assist in the preparation and coordination of internal and external ISO audits.
Support compliance with ISO 9001:2015 requirements and established company procedures.
Manage document revisions, distribution, filing, and archiving.
Assist in monitoring corrective actions and supporting continuous process improvement initiatives.
Coordinate with relevant departments to ensure proper implementation of QMS procedures.
Participate in ISO/QMS familiarization and training programs as required.
Bachelor’s degree in Human Resources, Psychology, Business Administration, or a related field.
At least 1–5 years of experience in HR, administration, or a related role.
Good command of written and spoken English, with strong reading and comprehension skills.
Working knowledge of Philippine labor laws, DOLE requirements, and government-mandated benefits.
Experience in recruitment coordination, timekeeping, attendance monitoring, and payroll support.
Familiarity with ISO 9001:2015, ISO 45001, QMS, and document control is an advantage.
Japanese language proficiency (reading, writing, and speaking) is an advantage but not required.
Strong organizational, communication, and interpersonal skills.
Proficient in Microsoft Office applications, particularly Word and Excel.
Detail-oriented, organized, and able to manage multiple administrative responsibilities.
Willing to work onsite in Parañaque City, Monday to Friday, with one Saturday workday per month.
Experience in ISO/QMS documentation, audit coordination, or document control.
Japanese language proficiency, including reading, writing, and speaking.
Experience working with Japanese clients, colleagues, or companies.
Strong English communication and comprehension skills.
