The opportunity

We are seeking an HR & Admin Coordinator based in the Philippines to support day‑to‑day People Operations and administrative needs across the organization. This role combines recurring HR coordination, reporting, documentation, employee follow‑up, and support for onboarding, offboarding, vendors, supplies, and other administrative processes.


The ideal candidate is highly organized, proactive, and comfortable handling confidential HR responsibilities while coordinating practical support across teams and locations. This person will work closely with HR leaders, managers, Payroll, Finance, IT, vendors, and onsite team members to ensure recurring processes are completed accurately and employees receive timely, consistent support.


This is a full‑time role based in the Philippines.

Working Hours: 9PM to 6AM PHT (Apr - Oct) or 10PM to 7AM PHT (Nov - Mar)


What You’ll Do


  • Support recurring HR operations, including employment verifications, government and compliance requests, policy acknowledgments, employee documentation, and routine HRIS updates.

  • Maintain accurate employee records, files, and process documentation. Support audits and ensure required information is complete and up to date.

  • Prepare and maintain recurring HR reports, trackers, communications, and distribution groups, including PTO, attendance, and employee activity reporting.

  • Monitor shared HR and administrative inboxes, tickets, and requests to ensure timely follow‑up, resolution, or escalation.

  • Coordinate onboarding, offboarding, and routine employee changes, including documentation, internal notifications, office access, equipment, shipping, workspace readiness, transfers, title changes, reporting‑line updates, and approved compensation changes.

  • Gather records and organize documentation related to attendance, employee activity, or employee relations concerns. Summarize the relevant facts and elevate matters to HR leadership for review.

  • Provide scheduling, meeting coordination, document preparation, and administrative support for People Operations programs and projects.

  • Assist with benefits, payroll, leave, and compliance administration by collecting information, maintaining documentation, and directing questions to the appropriate owner.

  • Coordinate practical administrative needs that support employees and HR processes, including onboarding and offboarding logistics, equipment and shipping requests, office access, workspace preparation, supplies, and other location‑specific needs in partnership with onsite team members and internal owners.

  • Maintain accurate HR, equipment, and office inventories; coordinate routine requests with vendors, property management, and onsite partners; and elevate facility, service, shipping, or contract‑related concerns to the appropriate internal owner.

  • Provide logistical support for employee meetings and occasional company events, including materials, registration, scheduling, shipping, and expense documentation.

  • Handle confidential employee and company information with discretion and sound judgment.

  • Support additional People Operations and administrative projects as assigned.


Who You Are


  • 2–4 years of experience supporting Human Resources, People Operations, employee services, or another HR‑focused function.

  • Experience maintaining employee records and handling confidential or sensitive information with discretion.

  • Highly organized and able to manage recurring responsibilities, deadlines, and competing priorities.

  • Strong attention to detail and consistent follow‑through.

  • Clear and professional written and verbal communication skills.

  • Comfortable following established processes while recognizing when a matter should be escalated.

  • Able to gather information, organize documentation, and summarize key facts for review.

  • Proactive and solutions‑oriented, with the ability to independently identify and address HR and administrative needs.

  • Comfortable working with employees, managers, senior leaders, vendors, and cross‑functional partners across multiple locations and time zones.

  • Experience using Google Workspace, including Gmail, Google Drive, Docs, Sheets, Slides, and Calendar.

  • Comfortable learning and working across HR systems, ticketing platforms, Slack, spreadsheets, and shared‑document tools.

  • Able to coordinate onboarding, offboarding, equipment, shipping, vendor, and other administrative requests in partnership with internal teams and onsite contacts.

  • Agile professional who excels in a fast‑paced environment and thrives on continuously pivoting strategies to drive business needs forward.

  • Must have a working laptop/pc and internet and a backup connection.

Salary Range

We seek to hire top‑tier individuals and intend for our compensation to be at a rate that allows us to recruit and retain individuals who align with our core values, purpose, mission, and vision. Final total compensation is based on a multitude of factors including, but not limited to, skill level, relevant experience to the position, and cost of labor.


Monthly Pay Range: ₱35,000—₱45,000 PHP
