GrowthAssistant connects top marketing and operations talent with fast-growing companies that depend on great execution to scale. Founded in 2021 and named by Forbes as one of the best startups to work at, we're a permanently remote team that runs on integrity, proactive candor, and a bias toward action — and we prioritize the human experience in everything we do. We hire for skill and for heart, and we invest in our people for the long haul.
The Opportunity
We're hiring a Hardware Operations Specialist for a fast-growing, AI-driven IT management platform that supports growth-stage companies and their distributed teams. You'll be the dedicated operational bridge between customers, internal teams, and third-party warehouse partners — owning day-to-day warehouse coordination, device triage, and inventory tracking for customer-owned hardware across US and international accounts. The work is split roughly evenly between hardware triage and customer coordination on one side and meticulous data entry and auditing on the other, making this a great fit for a process-driven, customer-first operator who takes pride in accuracy.
What Your Day-to-Day Will Look Like
- Hardware Triage: Evaluate returned Mac and PC hardware across US and international customer accounts for physical damage, missing components (such as power adapters and chargers), and active warranty eligibility.
- Customer Communication: Act as the primary liaison between warehouse staff and customers, presenting device condition updates, securing repair and refurbishment quotes, and facilitating recycling, donation, and replacement workflows with clear, timely, and empathetic updates.
- Project Coordination: Coordinate multi-device customer projects from kickoff through execution, including bulk employee offboarding returns, international device retrievals, and cohort deployment transitions.
- Vendor Partner Management: Serve as the primary operational liaison to a third-party logistics partner running a US warehouse and a Canadian warehouse, managing day-to-day email communication, maintaining real-time records in the vendor portal, and leading weekly syncs to review SLA performance, track shipments, and resolve bottlenecks.
- Data Entry & Reconciliation: Perform daily manual data entry and system reconciliations to align records between UPS tracking portals, warehouse inventory logs, and the internal platform.
- Inventory Auditing: Audit warehouse partner portals across both facilities to identify, flag, and resolve shipment delays, missing asset tags, and inventory discrepancies, and run periodic fleet audits to spot aging, unassigned, or underutilized equipment.
- Fleet Optimization: Consult proactively with customer accounts on tailored refresh schedules, recycling, or replacement options — a high-touch support value-add focused on fleet hygiene, account health, and device security, with no sales quotas or revenue targets.
- KPI Reporting & SOPs: Track and report regularly on request fulfillment turnaround times and data entry error rates, and maintain and refine Standard Operating Procedures as operations and automation scale.
What You Bring
- Professional Experience: 1–2 years of demonstrated success in operations, account management, customer support, logistics coordination, or a related customer-facing service role. Candidates from adjacent backgrounds such as customer success or retail/hospitality management are warmly welcomed.
- Empathetic & Clear Communication: Exceptional written and verbal communication paired with a warm, customer-first approach, including the ability to convey damage reports, repair costs, or missing accessory notifications with clarity, tact, and empathy.
- SOP Discipline & Attention to Detail: Strong process discipline and a proven track record of maintaining high accuracy across repetitive data entry, portal reconciliations, and structured checklists.
- Sound Decision-Making: Ability to work self-directed, evaluate routine operational requests independently, and present well-supported, data-backed recommendations to internal approvers for custom pricing or complex customer requests.
- Multi-Tasking & Organization: Superior organizational skills and the capacity to manage multiple customer hardware projects, vendor follow-ups, and escalations simultaneously in a fast-paced environment.
Bonus Points if:
- You're familiar with macOS and Windows hardware, including MacBook specifications
- You have experience with ticketing and queue management tools like Jira Service Management
- You've worked with UPS or warehouse portals for inventory tracking and shipment monitoring
- You're comfortable working in Google Workspace for communication, documentation, and reporting
