VA Masters is seeking a GoHighLevel Automation and CRM Systems Specialist to build and optimize the backend of our GoHighLevel CRM. This hands-on role focuses on workflows, automations, funnels, integrations, and AI bot configuration—far from customer conversations.
You will turn a partially configured account into a clean, reliable, fully automated system, coordinating with stakeholders while maintaining high data standards.
We're on the lookout for a GoHighLevel Automation and CRM Systems Specialist to build, sharpen, and hold the backend of our GoHighLevel CRM. This is a technical, behind-the-scenes role centred on workflows, automations, funnels, integrations, and AI bot configuration — not on running conversations with customers. The right person is a hands-on GoHighLevel builder who can take a partially configured account and turn it into a clean, reliable, fully automated system.
Build and sharpen end-to-end GoHighLevel workflows and automations across the customer journey
Configure automated email and SMS sequences triggered by booking events, intake forms and privacy/consent documents included
Create and hold reusable email, SMS, and form templates within the CRM
Diagnose and settle email deliverability issues, domain authentication, sender reputation, and spam-folder and unsafe-link warnings included
Configure and sharpen GoHighLevel AI/conversation bots so automated sequences carry on intelligently after a lead replies, instead of dropping out of the flow
Wire lead sources such as Facebook/Meta Ads, website forms, and social platforms directly into the CRM pipeline
Build and structure CRM pipelines, stages, tags, and lead routing from the ground up
Design and build funnels and landing pages, and tie them into the existing website
Connect third-party scheduling software to the CRM using available integrations, webhooks, APIs, or automation platforms where no native integration exists
Audit the existing account setup, spot unused or misconfigured features, and put forward improvements
Document systems and workflows so they can be held up and handed over
Proven hands-on experience building inside GoHighLevel (workflows, automations, pipelines, funnels, calendars, forms)
Strong grasp of CRM architecture: pipelines, stages, tags, triggers, and lead routing logic
Experience building automated email and SMS sequences from scratch
Working knowledge of email deliverability fundamentals (domain authentication, DNS records, spam and link-safety troubleshooting)
Experience wiring third-party tools in using native integrations, webhooks, APIs, or platforms such as Zapier or Make
Experience connecting paid ad platforms (Facebook/Meta) to a CRM for lead capture
Ability to configure AI chatbots or conversation AI within a CRM setting
At ease handling confidential customer information with discretion
Dependable, precise, and able to work solo with little supervision
Strong communication skills, with the ability to explain technical decisions clearly to a non-technical stakeholder
Experience setting up GoHighLevel sub-accounts under an agency account
Familiarity with appointment-based or clinic-based service businesses and their booking, intake, and consent workflows
Experience with scheduling platforms such as Amelia, Calendly, Acuity, or similar
Basic web skills (HTML/CSS, embed codes, DNS management)
Experience creating SOPs, loom walkthroughs, or written documentation for systems you build
Ability to carry several builds and priorities at once
A proactive, consultative approach — spotting openings the stakeholder hasn't asked for yet
This is a high-ownership role where you'll be the person who designs and builds the systems the whole operation runs on. You'll work directly with a decision-maker who values your expertise and will give you the latitude to make the right technical calls. As the systems mature, there's real room for the role to grow in scope and responsibility.
